What are the responsibilities and job description for the Client and Volunteer Services Supervisor position at Community Food Bank of Southern Arizona?
Function: The Green Valley/Amado Resource Center provides comprehensive services to our community utilizing the expertise of the Community Food Banks (CFBs) staff as well as the expertise and resources of other service organizations and partners. Our approach is to ensure a welcoming environment that is rooted in dignity and justice, where all who enter feel safe, secure, and treated with respect. Under the supervision of the Resource Center Manager, the Client and Volunteer Services Supervisor oversees staff, volunteers, and functions of the programs which offer food assistance to our community. This includes recruitment, training, scheduling and managing a diverse group of volunteers. The incumbent ensures clients have access to all services, are treated with respect, and ensures compliance with policy and procedures.
Duties and Responsibilities:
- Collaborates with the management team to oversee commodity food programs: The Emergency Food Assistance Program (TEFAP) and the Commodity Senior Food Program (CSFP).
- Oversees all aspects of client services including informing clients of various food bank programs, intake, and directing clients to other service agencies as needed. This includes tabling events promoting CFB and the services we offer our partners and community.
- Coordinates the online SNAP application, and participates in community outreach to promote food bank services and collaboration within the social services networks.
- Oversees daily client visits and works with volunteers to ensure accurate data entry of information into the database and compliance with all applicable policies.
- Uses knowledge of local social services and food bank resources to respond to client concerns and phone inquiries.
- Supervises and supports the Client Services Specialist to ensure this position provides support to clients and volunteers by answering questions and directs clients to available resources.
- Ensures that the Client Services Specialist distributes reports related to the commodity food programs and volunteer management in a timely manner.
- Oversees the volunteer function by recruiting, training, scheduling, and maintaining accurate records of all volunteers.
- Actively engages volunteers and creates a welcoming, safe, and fun experience.
- Manages communications to all volunteers through internal software programs and approved social media applications.
- Collaborates with the Warehouse Manager to ensure effective and efficient daily operations.
- Collaborates in the creation and monitoring of the departmental budget, approves invoices, and archives records appropriately.
- Continually reviews internal processes and makes changes to promote operational effectiveness.
- Manages the inventory and ordering of all office and program supply orders through various vendors.
- Receives and accurately records food and monetary donations.
- Works closely with other CFB staff and program personnel to support team effectiveness with a focus on respect and team harmony.
- Participates in evaluation and assessment of programming as dictated by the development of the Resource Centers.
- Performs other duties as assigned.
Knowledge, Skills and Abilities:
- Knowledge of overseeing and coordinating volunteers for a non-profit organization.
- Knowledge of commodity food programs for food banks.
- Skills in handling money and accounting for all monies received.
- Skills in leading volunteer services social events for both volunteers and staff.
- Ability to work without a high-level of direction.
- Self-motivator and takes initiative.
- People orientated and ability to motivate team members.
- Demonstrated interest in learning internally and externally and incorporating new information into role.
- Ability to work with people from diverse economic, social, and political backgrounds.
Minimum Qualifications:
- Three (3) years of experience in communicating and overseeing food commodity programs at a non-profit organization to include engaging volunteers in assisting clients with these programs.
- Bilingual in English and Spanish.
- Intermediate proficiency in Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, etc.).
- For company insurance purposes, at least 21 years of age; possess a current Arizona Drivers License with a safe driving record.
Equivalent combination of education and experience may be considered if applicable and must be directly related to the functions and body of knowledge required to successfully perform the job.
Preferred Qualifications:
- One (1) Two (2) years of staff management and supervision.
Physical Requirements:
- Light Work ability to exert 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
