Description
Function: The Financial Grants Administrator is responsible for managing, tracking, and billing private and government-funded grants for the Community Food Bank (CFB).
Duties and Responsibilities:
- Prepares and submits grant billings to granting agency.
- Responsible for ensuring that program grant managers understand the compliance directives issued by the funder.
- Ensures the proper spending and internal controls of grant funds.
- Ensures the proper recording of grant transactions for Financial statement preparation.
- Assists in developing grant budgets during the application process and tracks accordingly as grants are awarded.
- Assists in developing and reviewing subcontracts and Memorandum Of Understanding’s (MOU’s) related to awarded grants.
- Prepares monthly reports to internal staff to assist in monitoring the financial performance of the grants. Reviews the reports with staff in-person to ensure understanding of the information.
- Prepares financial reports to the funder as required.
- Reviews/prepares grant budgets in coordination with grant writers for grant submissions.
- Monitors grants and collaborates with personnel on their deadlines for periodic progress/final reports and grant billings.
- Works closely with the grant writing personnel to manage grant documentation and implementation information.
- Keeps informed of programmatic and organization funding needs to assist grant writing personnel better.
- Informs the Director of Finance, program staff, and grant writing/Development staff of any issues or concerns with grants.
- Coordinates and prepares for grant and financial audits.
- Responsible for working effectively with key management, staff, and volunteers with the CFB.
- Assists in evaluating and improving the fiscal administration of grant programs.
- Performs other duties as assigned.
Qualifications
Knowledge, Skills and Abilities:
- Knowledge of preparing and submitting grant billings to granting agencies.
- Skills in preparing reports to monitor financial performance of grants.
- Ability to develop and review subcontracts and MOU’s for grant awards.
- Ability to evaluate and improve the fiscal administration of grant programs.
- Analytical and able to set and measure goals and results which requires attention to detail.
- Ability to effectively communicate with employees, volunteers, donors, and partner organizations.
- Strong time and management skills, long range planning.
- Ability to work without a high-level of direction.
- Strong written and verbal communication skills
- Demonstrated interest in learning internally and externally and incorporating new information into role.
- Ability to work with people from diverse economic, social, and political backgrounds.
Minimum Qualifications:
- Three (3) – Five (5) years of experience in accounting/finance with an in-depth understanding of accounting principles and reporting.
- Bachelor’s degree in Public Administration, Finance or a related field.
- Intermediate proficiency in Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, etc.).
- For company insurance purposes, at least 21 years of age; possess a current Arizona Driver’s License with a safe driving record.
Equivalent combination of education and experience may be considered if applicable and must be directly related to the functions and body of knowledge required to successfully perform the job.
Preferred Qualifications:
- Experience with grant agreements and contracts.
- Experience with standards and compliance issues related to non-profit organizations and grant funding.
- Experience with government grant regulations and compliance requirements.
- Experience in tracking, monitoring, and administration of grants and contracts.
- Experience working or volunteering at a nonprofit and/or food bank.
- Bilingual in English and Spanish.
Physical Requirements:
- Light Work – ability to exert 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
