What are the responsibilities and job description for the Psych Services Secretary position at Community Guidance Center?
- Provide support services to Psychiatric Services department by:
- Answering the department/s telephone calls, documenting each on the same day received and forwarding them to the appropirate provider
- Reviewing appropriate reports and results to assist department director(s) such as attendance, 15 day, and caseloads.
- Acting as a liaison between department directors and staff to ensure coordination of care.
- Review the schedule for the psychiatrists and CRNP/PA at least one day prior to appointments while exercising social responsibility. This includes but is not limited to:
- Ensuring outstanding lab work is attached to the chart for review.
- Records for new patients are scanned and attached in the chart.
- Releases of Information are up to date, including but not limited to PCP releases.
- Psychiatric Services SPU’s without consumer’s signatures are identified on the provider’s appointment as a note to review and obtain signature.
- Provide secretarial support services to the Psychiatric Services Department. This includes but is not limited to:
- Maintaining records as appropriate
- Moving completed physician charts through the department ensuring charts are signed off and paperwork is completed and copied for the chart or filed in the chart.
- Provide typing of letters/reports and other relevant documentation.
- Assisting staff in photocopying, faxing, and mailing appropriate documents. Pick up and distribute mail daily.
- Assist Practice Manager in tracking SPU’s due/overdue. Completing POMS on a weekly basis and ensuring charts are pulled for completion.
- Coordinate and update of all psychiatric services only consumer information such as opening, closing and transferring cases in the automated client registry. Also, processing of necessary authorization requests, case reviews and case revisions.
