Essential Functions & Responsibilities:
- Responsible for patient communication regarding wait times due to unforeseen circumstances or if there are other issues patients may need assistance with; suggest alternative solutions whenever possible.
- Registers new patients in a cheerful, helpful manner.
- Verifies all demographic and insurance information to ensure accurate and complete data entry. Responsible for verifying that correct PCP is entered into the patient’s medical record.
- Verification of each patient's individual insurance coverage utilizing multiple tools to include but not limited to electronic verification through the EHR as well as electronic verification through individual insurance websites within the appropriate timeframe.
- Responsible for scheduling new patient appointments.
- Updates new patient charts once they have completed a new patient packet.
- Ensures updated demographic forms are in patient charts, if not coordinating with the front desk staff to have patients complete the necessary documents at their appointment.
- Responsible to review the provider schedules daily to ensure the max number of patients are scheduled.
- Coordinates with Financial Assistance when a self-pay patient has been identified.
- Daily monitoring of copay and collection report
- Registers new children/adolescents in the School Based Health Clinic.
- Schedules new SBHC appointments.
- Monitors patient wait times and patient flow; rounds on all patients in waiting area every two hours.
- Completes day-to-day front office tasks in an appropriate and professional manner focusing on customer service and patient satisfaction.
- Answers phone calls to determine routing of calls to the appropriate medical team member.
- Answers the phone in a cheerful, polite manner, documenting messages in the “telephone encounters” (TE) in the HER, transferring calls when required to appropriate medical staff.
- Performs other duties as assigned, including coverage for other PARs as needed.
- Rotates to other departments and locations as needed.
- Provides excellent customer service to all patients, staff, and visitors of CHWC
- Independently creates staffing assignments, scheduling, and delegation of tasks or work assignments.
- Performs and manages with limited supervision a variety of administrative support activities to assist with front desk operations.
- Coordinates the daily activities of the department; delegates assignments to staff; and serves as a primary resource to staff.
- Acts as a resource for staff and management in the daily operations of the department.
