As an Administrative Assistant, you will offer direct support to the Executive Assistant, Quality Improvement, and Property Management departments by delivering comprehensive administrative assistance to CHN, with a focus on office operations, Property Management, Quality Improvement, front desk coverage, resident filing, rent payment processing, mail handling, office inventory, and supporting CHN staff.
Responsibilities include:
- General Office Support- Provide administrative support to departments, employees, and executives, assist with inventory management, secure shredding and recycling, and help the Executive Assistant/Office Manager with office management duties and special projects.
- Property Management Support- Process rent payments, distribute critical funder documents internally, prepare and send rent increase letters. Dotted line to Property Management Director for direction on these functions and input on performance evaluation.
- Front Desk Coverage- Provide coverage for the Front Desk Assistant for daily breaks and other absences. Provide customer service to callers, visitors, and staff. Accept rent payments and provide waitlist information.
- Mail- Manage incoming mail, outgoing mail, and bulk mailings; Manage mailing supplies and maintenance of postage meter.
- Management of Resident Files- Organize and update electronic resident records for compliance, assist with offsite record storage and documentation destruction, and report to the QI Director for guidance and performance evaluation input.
Qualifications & Job Specifications
- High School Diploma, GED, or equivalent required
- One to three year of experience in administrative or clerical support roles is preferred
- Use of personal vehicle as needed to complete routine tasks (must hold personal vehicle insurance and valid driver’s license)
- Proficient in Microsoft Office Suite Products and ability to learn and adapt to changing technology utilized in role
- Proficient in the use of standard office equipment such as computers, multi-line phones, postage, and multifunction machines
