Purpose: To assist the Directors of Community Independent School District while ensuring efficiency and organization of the office in a consistent manner. Help facilitate efficient operations, providing clerical support to the administrative staff.

Qualifications: Education/ Certification: High School graduate Present a pleasant image in working with the general public Excellent spelling and grammar skills Experience in secretarial and bookkeeping procedures and ability to work under stressful deadlines Excellent typing skills (minimum requirement is 60 wpm) Ability to operate a computer and enter certain kinds of data (inventory, evaluation, personnel, etc.) utilizing a computer management system Ability to organize and prioritize responsibilities and projects in order to meet timelines Ability to handle day-to-day disruptions and requirements as necessary with a positive attitude Ability to multi-task Ability to follow verbal and written instructions Experience: One to three years secretarial experience, preferably in public education environment Data processing skills preferred Customer service experience

Position Description: Special Knowledge/ Skills: Knowledge of diagnostic procedures, education and of special education students, human development, and learning theories Excellent organizational communication and interpersonal skills

Major Responsibilities: 1. Maintain professional decorum and protect confidentiality of all staff, parents, and students. 2. Adhere to time schedule for completing projects. 3. Facilitate friendly, comfortable working environment. 4. Copy, file, and distribute records. 5. Follow good business practices, and provide detailed, accurate work. 6. Process purchase orders. 7. Facilitate the process of attending workshops. 8. Assist in keeping accurate records of special education and at risk students, including all PEIMS data 9. Help prepare for staff meetings (e.g., making copies, securing room, notifying attendees, etc.) 10. Maintain professional relationships with staff members and administrators Page 1 4/4/2018 12:53 PM 11. Maintain appropriate business hours, professional dress, language, behavior, and work area 12. Maintain testing forms/protocols/test kits 13. Route referrals to appropriate personnel 14. Maintain office machines, and order supplies as needed 15. Answer phone with professional, positive tone. Route calls or take messages as appropriate 16. Copy records to send to receiving districts. 17. Distribute materials and maintain inventory of items with a cost of more than $200 18. Maintain SHARS data 19. Maintain MAC data 20. Prepare bus route information for the Transportation Department 21. Facilitate SEAS program 22. Maintain/update job descriptions and evaluation forms 23. The Supervisor or his/her designee may assign other duties and accountabilities limited to those consistent with the applicable job function and pay grade 24. Type project applications, letters, reports, records, purchase orders, communications, and related Federal Programs activities 25. 7. Assist coordinator and/or director in preparing and finalizing Federal Program project and amendments 26. Type project applications, letters, reports, records, purchase orders, communications, and related Federal Programs activities 27. Operate, enter data, and utilize a computer management system
