What are the responsibilities and job description for the Clerical Staff Member *Floater position at Community Legal Aid Society, Inc. (CLASI)?
CONTEXT OF POSITION:
The Floating Clerical Staff Member is a versatile role responsible for handling secretarial, receptionist, translation, and errand duties in both our Sussex and Kent County offices. This individual will provide essential support by typing and performing clerical functions for attorneys, paralegals, and administrative staff as assigned by the Office Managers. Additionally, they will serve as the primary back-up to the receptionists, covering lunch breaks, vacations, and other absences.
When not assigned to cover one of the main receptionists in their designated office, the Floating Clerical Staff Member will divide their time between the Sussex and Kent County offices, ensuring consistent support across both locations. This role also involves running errands, handling outgoing mail, and performing other general clerical duties as assigned.
The clerical staff member will be supervised by the Office Managers of both the Sussex County and Kent County offices.
RESPONSIBILITIES (See Attachment A):
- Serve as back-up to receptionists in both Sussex and Kent County offices.
- Cover or act as the main receptionist during lunch breaks or in the absence of the primary Reception when the primary receptionist is out of the office
- Back-up to Receptionists in both offices and and act as main Receptionist in the absence of the regular CLASI Receptionists;
- Perform general clerical duties such as typing, faxing, copying, scanning, etc. as assigned by the Office Managers;
- Deliver errands;
- Any other duties as deemed necessary by the Office Managers.
QUALIFICATIONS:
- Bilingual – Spanish/English fluency required;
- Must be computer proficient;
- Clerical experience strongly preferred;
- General knowledge of office machines and equipment necessary;
- Reliability, punctuality and good work habits required;
- Ability to travel to, and work in, either Sussex County and Kent County, sometimes on short notice, depending on office needs required;
- Adaptability, strong communication skills and the ability to work closely and cooperate with other members of the clerical team required.
Attachment A
Responsibilities of Clerical Team Member:
A) Secretarial duties assigned by the Office Managers:
- Type letters, documents, forms, etc.;
- Open and/or close files;
- Faxing, copying and/or scanning of documents;
- Prepare Monthly Time Reports and Time and Attendance Sheets;
- Filing / organize files; and
- Translate short meetings between staff and clients, as well as translation of documents.
B) Receptionist’s duties (cover the front desk in the absence of the receptionist (when receptionist is on lunch break and/or out of the office)):
- Answer incoming calls;
- Retrieve messages from voice mail, log and return calls;
- Greet clients and walk-ins;
- Obtain information from clients, enter appropriate information in case management system (“Legal Server”) and email them to the appropriate staff;
- Check fax folder for incoming faxes. Scan and upload faxes to case management system (“Legal Server”) and forward them to the appropriate staff;
- Date stamp and scan incoming mail, upload to case management system (“Legal Server”) and distribute to appropriate staff; and
- Copy and scan clients’ documents for uploading to case management system (“Legal Server”) and for distribution to the appropriate staff.
C) Errand Person’s duties:
- File court documents;
- Deliver errands locally by vehicle;
- Pick up incoming mail, scan and distribute to the appropriate staff;
- Drop off outgoing Federal Express mailings to designated depository location; and
- Stamp outgoing mail and drop in mailbox on property or occasionally take to post office.
D) Miscellaneous:
- Any other reasonable related business duties as assigned by the Office Managers.

SALARY AND BENEFITS:
Salary:
Base salary for this position is $42,375 annually. On April 1 of each subsequent year, the entry-level salary is adjusted by the CPI-U for the Philadelphia-Wilmington-Atlantic City area for the immediately preceding 12-month period ending December 31, provided that such CPI-U is within the range of 2% to 7%. Credit for years of experience is factored into a percentage of the entry level salary as follows:
