CLS is currently searching for a service-minded, mission driven individual to fill the following position :

Manager of Administrative Services

OVERVIEW

Reporting to the Chief Financial Officer, the duties of the Manager of Administrative Services include training, supervising, and guiding the activities of staff responsible for scheduling meetings and appointments, purchasing and travel arrangements, staff encounters with clients, vendors, and visitors, and providing general administrative support to the daily operations of the firm.

RESPONSIBILITIES

  • Manage front desk staff who are responsible for the daily operation and smooth functioning of each office including client and guest assistance during office visits and the ordering of equipment and supplies for each location.
  • Play a significant role as a member of various firm-wide committees responsible for strategizing long-term planning, including an initiative geared toward operational excellence and high-level customer service .
  • Responsible for managing the day to day “Front and Back Office” operation.
  • Supervise and coach each administrative team member on a regular basis to make sure they are knowledgeable about and adhering to internal policies and procedures and operating at an optimal level and always improving.
  • Manage local administrative and project support staff and responds to questions; act as a resource, help prioritize workload, and troubleshoot and resolve problems as they arise.
  • Plan goals and objectives for office operations and identify the resources (i.e.
  • staff, equipment, funds) required to attain optimal results.

  • Responsible for and researching innovative measures and workflows that the firm can take to remain efficient.
  • Responsible for the alignment and continuous distribution of the Front Desk Manual to ensure consistency.
  • Must maintain the highest level of professionalism and utmost confidentiality in dealing with all constituencies.

  • REQUIREMENTS

    2.  Background and Experience

  • BA / BS, 2  years of experience in coordination of multiple tasks.
  • Proven experience as an Office Manager, or Department / Program Coordinator.
  • Knowledge of professional responsibilities, systems and procedures.
  • Skilled in completing time and content sensitive projects in a timely and high-quality manner.
  • Attention to detail and superior problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to implement continuous improvements.
  • Proficiency in Microsoft Office 365 programs.
  • The ability to complete assigned tasks under stressful situations.
  • Valid Florida automobile license, use of own auto, and proof of auto insurance necessary.
  • Ability to perform duties and attend meetings and / or other functions throughout 12 county service area.
  • Physical Requirements

    Prolonged periods siting at a desk and working on a computer.

    b.  Must be able to lift up to 25 pounds at times.

    STARTING SALARY : 55,000, more with experience.
