Essential Duties and Responsibilities :

Is responsible for the day-to-day operations of the Triage Unit.
Supervises all attorneys and paralegals in the Triage Unit.
Establishes and maintains Triage Unit staff schedules to ensure telephone, in-person and online applicants are handled in a professional, prompt, proper, accurate and effective manner.
Ensures all applications and cases are handled within the established timelines set out below and in CLS policy, procedures or directives.
Reviews the files and the legal work and advocacy of staff and conducts a review of all closed cases.
Responsible for maintaining own legal advice and brief service caseload.
All Duties and Responsibilities :
Performs all duties and responsibilities listed in the Priority Duties and Responsibilities section of this job description.
Responsible for compliance with Community Legal Services Policies and Procedures, Priorities, the Arizona Rules of Professional Conduct and collective bargaining agreements.
Ensures the Triage Unit maintains necessary staffing Monday Friday from 8 : 00 a.m. to 5 : 00 p.m. to effectively handle all telephonic, in-person and online applications.
Ensures all cases assigned to the Triage Unit are properly handled and closed within 10 working days or, if additional legal assistance is required, are referred to the appropriate CLS office or unit.
Ensures all applications taken by Triage Unit staff are referred to the appropriate unit or office within no more than one working day, unless the application / case will be retained in the Triage Unit for legal advice or brief service.
Ensures follow-up on online applications are made by return telephone call and / or e-mail within one but no more than two working days of the date the online application is submitted.
Completes applications and provides legal assistance, or refers to other unit or office as appropriate if sufficient Triage Unit staff is unavailable, for any reason, to effectively handle the workload.
Is promptly available to provide direction and assistance to Triage Unit staff during normal work hours.
Runs and reviews statistical reports from the case management system, telephone system and other relevant systems monitor and determine effectiveness and efficiency of service provided.
On at least a monthly basis meets with the Director of Advocacy and Litigation and the Deputy Director to review the statistical reports and unit performance.
Establishes and maintains a system for workload distribution and limitations.
Assists in the collection of data and creation of reports concerning the Triage Unit and CLS applications for services, for internal use and current and potential funders and audits.
Interviews applicants for staff positions, as a member of the hiring committee, and consults with the Deputy Director and Executive Director on the hiring and discipline of staff for the Triage Unit, and performs periodic evaluations of staff. Conducts timely annual reviews of all staff, including case reviews of all advocates.
Conducts or arranges for training of Triage Unit staff and volunteers and other newly hired paralegals performing the application functions in all other CLS offices.
Drafts, updates and / or revises all Triage Unit procedures and protocols.
Conducts regular unit meetings to update staff and solicit feedback regarding organization or unit changes or issues and facilitate the sharing of information and resolution of issues.
Performs all managerial / administrative duties related to Community Legal Services Triage Unit and its staff, including but not limited to, ensuring adherence with all Legal Services Corporation (LSC) and Community Legal Services requirements, timely collection and provision of information needed for reports or requests, and other duties related to the administrative operation of the Triage Unit and CLS.
Coordinates and ensures the establishment of periodic reviews of office priorities consistent with program-wide priorities.
Facilitates the sharing of work product and expertise of staff and volunteers assigned to Triage Unit.
Coordinates all necessary office relations with all CLS' units and offices.
