Summary
The Back Office Supervisor is responsible for administration, planning, training, and management of all back-office staff at the Long Beach clinic (1360 E. Anaheim St.) while working in collaboration with the Operation Manager. This position is also responsible for leading clinical initiatives, performing process and quality improvements, maintaining back office and provider schedules, ensuring accurate monitoring, data reporting, patient outreach associated with Clinical Measure, Quality Assurance along with Quality improvements.
Primary Essential Duties
1. Responsible for professional administration of the assigned office. Includes responsibility for, and oversight of, administrative and clinical duties related to physician(s), patients and all employee(s).
2. Maintain liaison with professional medical staff and other personnel in administrating policies and procedures regarding patient flow and utilization of space, time, supplies, and equipment.
3. Ensures and oversees HIPAA requirements.
4. Analyzes and staff’s back-office staff to meet needs of health care professionals and patients efficiently and courteously.
5. Selects and hires employees according to established guidelines. Monitors, coaches, develop and evaluate performance of staff on an ongoing basis in accordance with applicable performance standards.
6. Collaborates with Human Resources to ensure personnel policy development and communication to staff to achieve consistency in labor and employee relations.
7. Ensures efficient function of the office through proper employee scheduling.
8. Partners with Operations and Human Resources to address offices issues and/or employee concerns to the appropriate party.
9. Assist with Quality Assurance and Quality Improvement oversight of operations and ensuring adherence to applicable regulations, policies, and procedures.
10. Maintains all appropriate documentation; generates reports as required.
11. Any additional duties as assigned.
Skills and Qualifications
1. General knowledge of spelling, punctuation, grammar, medical records and office procedures.
2. Basic knowledge of office machines.
3. Basic knowledge of telephone skills.
4. Aptitude or computer data entry and use of current software systems.
5. Ability to establish and maintain effective working relationships.
6. Ability to meet the public and staff as a positive, friendly and professional representative of the agency.
7. Effective social interaction, communication and organizational skills and the ability to perform a variety of tasks efficiently.
8. Professional proficiency of MS Word, Excel, Access, Outlook and PowerPoint is required.
9. Ability to prepare accurate, concise and comprehensive reports.
