Executive Assistant - Assumes all administrative responsibilities for Shareholder Services, Board of Directors and senior management in a highly confidential nature to ensure smooth organizational function.
Job Responsibilities:
- Maintain the confidentiality of sensitive information and handle all business-related correspondence with professionalism and discretion.
- Provide administrative support to the executive and leadership team, including scheduling meetings, managing calendars, and handling correspondence.
- Serve as the primary point of contact for shareholders, providing assistance as necessary, responding to inquiries and accurate recordkeeping and reporting.
- Assist in the scheduling, preparation, and coordination of board meetings, ensuring all logistics are handled smoothly.
- Prepare meeting minutes, summaries, and resolutions for board meetings, and ensure proper filing and distribution of meeting materials.
- Serve as a point of contact for board members, ensuring they have the necessary documents and information for meetings.
- Track and follow up on action items from board meetings, ensuring deadlines are met and progress is reported.
- Coordinate logistics for board meetings, special events and special projects, including venue selection, conducting research, preparing presentations, technology setup, and catering arrangements.
- Provide administrative support for Board Effect.
- Assist with the preparation and filing of corporate documents as required by law such as annual reports, regulatory filings, and board resolutions.
Qualifications:
- Education: High School Degree or equivalent with some college courses
- Experience: Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role; experience in corporate governance or as a Board Secretary is a plus.
- Skills:
- Exceptional organizational and time-management abilities.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.
- High level of discretion and professionalism when dealing with confidential information.
- Ability to work under pressure, handle multiple tasks simultaneously, and meet deadlines.
- Other: Familiarity with board governance processes and corporate legal requirements.
- Ability to read, write, speak and understand English is required.
PHYSICAL DEMANDS:
· While performing the duties of this job, the employee is regularly required to talk, hear and work/type at a computer.
· Specific vision abilities required by this job include close vision and the ability to adjust focus.
WORK ENVIRONMENT:
General office working conditions, the noise level in the work environment is usually quiet.
