Job Title: Operations Manager

Location: Remote & In-Person at Events/Meetings

Reports To: President & CMR Board of Directors


Position Overview

The Operations Manager serves as the administrative backbone of the Community of Minnesota Resorts (CMR) while also playing a key leadership role in shaping its future. This position goes beyond day-to-day operations, requiring a strategic mindset to enhance member value, foster industry growth, and strengthen CMR’s impact on Minnesota’s tourism sector. Providing essential support to the CMR Board, the Operations Manager ensures smooth operations through administrative management, membership coordination, and event planning. As an independent contractor, this role offers flexibility and leadership opportunities within a dynamic organization.


Compensation & Benefits

  • Contract Type: Independent Contractor
  • Compensation & Hours: 
  • $32,000 – $36,000 annually, based on experience
  • Monthly contracted amount: paid on the 1st of each month
  • Approximately 100 hours per month (25 hours per week)
  • Review Period: 60–90 days for performance and compensation assessment
  • Reimbursements: Approved expenses reimbursed upon submission

  • Accommodations for the Board Retreat, Fall Conference, and Spring Workshop


Location & Attendance

  • Remote work with required in-person attendance at the Spring Workshop, Fall Conference, Board Retreat, and select Board meetings
  • Board & Committee meetings: Held monthly (except June, July, and December), with attendance available virtually, unless pre-scheduled in-person meetings
  • Current Meeting Schedule:
  • February 2025: Committee Meeting/Task Force Mtgs (typically via Zoom)
  • March 2025: In-Person Board Meeting (Post-Spring Workshop)
  • April 2025: Committee Meeting/Task Force Mtgs (typically via Zoom)
  • May 2025: No Board Meeting
  • June 2025: Board Meeting: 1st Tuesday @8am (June 3 @8am)- via Zoom
  • July 2025: No Board Meeting
  • August 2025: Board Meeting: 1st Tuesday @8am (Aug. 5 @8am)- ZOOM
  • September 2025: TBD - Fall Conference/Annual Mtg Focused 
  • October 2025: Fall Conference, Annual Meeting, In-Person Board Meeting (Post-Fall Conference)
  • November 2025: TBD 
  • December 2025: No Meeting (or committees can choose)
  • January 2025: Board Retreat ( In-Person Board Mtg)


Key Responsibilities


Leadership & Strategic Impact

  • Vision & Growth – Work alongside the Board to develop initiatives that increase membership engagement, expand CMR’s reach, and elevate the organization’s influence within the hospitality industry.
  • Industry Advocacy – Support efforts that position CMR as a leader in Minnesota’s tourism economy, collaborating with stakeholders, partners, and policymakers to advocate for resort owners and industry growth.
  • Innovation & Improvement – Identify opportunities to streamline processes, enhance event programming, and introduce new initiatives that contribute to the long-term sustainability and success of CMR.
  • Member Value Enhancement – Help cultivate a strong network of resort owners by fostering collaboration, curating valuable resources, and implementing programs that directly benefit CMR members.


Executive Support

  • Provide high-level administrative assistance to the CMR Board, ensuring efficient operations and timely communication
  • Manage schedules, organize meetings, and prepare agendas for Board members
  • Draft, review, and distribute correspondence, reports, and Board-related materials
  • Assist with Onboarding and Training of board members
  • Maintain and organize official records, ensuring accessibility and confidentiality
  • Handle sensitive information with professionalism and discretion
  • Invest in the overall vision 


Membership & Database Management

  • Maintain an up-to-date membership database and generate reports as needed
  • Maintain membership data in various systems (Social Media groups, Distro Lists, etc.)
  • Process membership enrollments and renewals
  • Receive payments in various forms (Cash, Check, Paypal, Stripe) for member dues, conferences and workshops, magazine ads and donations.
  • Coordinate with the CMR Treasurer on recording and processing payments received.
  • Assist with membership communications, including renewals, benefits updates, and recruitment efforts


Communication & Social Media

  • Manage email and postal mail campaigns for events, announcements, and member communications
  • Update and maintain the CMR website and private social media groups, ensuring accuracy and engagement
  • Draft press releases, event announcements, and other materials for internal and external distribution
  • Collaborate with committee chairs, members, and outside resources to refine communications
  • Moderate internal Social Media group, to ensure proper rules and trade laws are followed


Conference & Event Coordination

  • Oversee logistics for the Spring Workshop, Fall Conference, and other events, including venue arrangements, attendee lists, food & sleeping accommodations, name tags, and registration materials
  • Serve as the primary point of contact for vendors and sponsors, managing communications and payments
  • Staff the registration desk at events and oversee on-site operations
  • Collaborate with committee chairs to prepare event materials, including promotional content and attendee packets
  • Track event-related payments and provide reconciliations to the Treasurer


Reporting & Compliance

  • Prepare a monthly activity report for Board meetings
  • File required documents with the State of Minnesota, including non-profit and lobbyist reports
  • Maintain organized digital and physical records, ensuring proper backups


General Administrative Support

  • Act as the main point of contact through phone and email
  • Manage office equipment, supplies, and historical records
  • Coordinate the procurement and distribution of materials for events and member recruitment
  • Perform additional tasks as directed by the Board


Job Requirements

  • Proven experience in administrative support, event planning, or a similar role
  • Exceptional organizational and time-management skills
  • Proficiency with office software, Google Drive, database management systems, QuickBooks, and Excel
  • Strong communication and interpersonal skills, with the ability to collaborate across teams
  • Experience managing social media platforms
  • Self-motivated with the ability to work independently and meet deadlines
  • General knowledge of accounting


Work Environment & Problem-Solving

This role requires working independently in a self-paced, unsupervised environment. The ideal candidate is resourceful, adaptable, and capable of managing multiple projects and deadlines efficiently and precisely with strong communication and collaboration skills amongst various stakeholders.
