Job Summary:
Community Roots Housing is looking for a Front Desk Assistant to function as the initial point of contact for phone, email and walk-in inquiries. This position provides support to office staff in a variety of capacities, including telephone coverage, processing of letters and applications, and assisting with completion of specially assigned projects. This is a full time, non-exempt (hourly) position. Traditional work hours are Monday through Friday 8:00 am to 5:00 pm with one hour for lunch from 12:00pm-1:00pm. The Front Desk Assistant will report to the Office Manager as a member of the Admin Department and will work to support residents and office staff.
Duties and Responsibilities:
- Seamlessly multitask between telephone calls and walk ins to provide basic information about Community Roots Housing (CRH), available housing, and application process.
- Provide stellar customer service in a fast-paced environment
- Answer phone calls and direct inquiries to the appropriate staff member
- Greet all visitors and inform the staff if appointments are here
- Monitor visitor access and maintain security awareness
- Collect rent checks and Provide receipts for resident records
- Providing de-escalation as necessary
- Organize and scan office logs monthly
- Receive packages and notify employees
- Monitor Conference Room inbox; book reservations; and maintain communication.
- Work with IT & HR on new hire tasks: alphabetizing mailboxes, nameplates, certain website access, employee photos and badges, delivering keys, etc.
- Maintain full level of copy paper for both office printers.
- Make sure all conference rooms are clean and have sanitation related items
- Check rent box 1-2x daily
- Deposit Finance Check Deposits (KeyBank & Heritage Bank)
- Take all outgoing mail to the downstairs mailbox before EOD
- File processed checks by building weekly and maintain check copies binder
- Process & Provide Rental Verifications when requested
- Clerical work and processing for Reasonable Accommodations for residents
- Perform data entry, compose letters, email, calendaring for general staff
- Mail HUD applications, receipts, etc. when requested
- Monitor incoming faxes and distribute accordingly
- Performs basic clerical functions including filing, copying, scanning; and other general support as needed
Admin Team Participation & Support
- Special event cards support (birthdays & service anniversaries)
- Support Staff Events with Events Committee
- Participate in weekly supervision meetings with Office Manager
- Participate in monthly Admin Team meetings
- Support All Staff meetings and all staff events (picnic, holiday gathering, etc.) with in-persons event prep & coordination, compiling presentation slides, etc
- Due to certain Staff Events, this position may need to stay late but will be made aware in advance.
- Other general support for Admin team and administrative duties as assigned.
Requirements
Minimum Qualifications:
- High School diploma or GED
- Advanced communication skills with a passion for helping people
- Data entry experience
- Experience with de-escalation
- Attention to detail and solid follow-up skills
- Experience working with the Microsoft Office Suite
- Ability to communicate effectively with people of diverse personalities, cultures, and communication styles
- Excellent organizational skills
- Maintain a high degree of confidentiality
Preferred Qualifications:
- Previous non-profit or affordable housing experience
- One year of general office support
- Knowledge of and/or training in Federal Housing Laws and Landlord/Tenant Laws
