Job Description : Responsibilities

  • Review authorization and insurance screens to ensure accurate coding.
  • Verify insurance status for all consumers on the first day of each month.
  • Act as the primary scheduler for PSR-I A, CM, and ICM case managers.
  • Maintain and conduct weekly reviews of caseloads to ensure timely scheduling of new consumers and alignment of existing consumers with their treatment plans.
  • Ensure that appointment entries are completed accurately and promptly, achieving 100% compliance.
  • Coordinate with staff regarding their absences and update the appointment book in MyAvatar accordingly.
  • Review all consents and financial forms for currency, notifying case managers of any documents set to expire within 60 days.
  • Track BPS updates and schedule necessary appointments 60 days prior to expiration.
  • Conduct Housing Surveys with all newly enrolled ICM clients and those ICM clients experiencing changes in housing status.
  • Document minutes for weekly ICM staffing meetings.
  • Ensure that all client information, including addresses and phone numbers, is up to date.
  • Assist in developing weekly schedules for case managers, communicating any discrepancies to supervisors if schedules are not submitted.
  • Enter finalized schedules into the system by Friday for the following week.
  • Monitor and review Weekly Progress Note Trackers to ensure completion and accuracy of documentation, including CSSRS forms.
  • Prepare draft reports of work notes and inform staff of any billing items approaching the 7-day threshold.
  • Track compliance with service requirements for monthly contacts.
  • Collaborate with co-workers and accept responsibilities proactively.
  • Treat individuals with respect and courtesy, fostering a professional relationship while maintaining appropriate boundaries.
  • Accept feedback and direction from supervisors constructively.
  • Assist in maintaining payee client vouchers and related documentation.
  • Adhere to scheduled work hours, notifying the designated contact one hour prior to any late arrivals.
  • Submit requests for annual leave at least three days in advance and inform the appropriate personnel of any adjustments needed at the end of the workweek.
  • Attend all mandatory training sessions and apply learned skills in daily tasks.
  • Serve as a backup for the receptionist and switchboard operator, as needed, and assist managers with assigned projects, data collection, and other administrative tasks.
  • Perform additional duties as assigned.

  • High School Diploma / GED Equivalent
  • Valid Georgia Driver’s License
  • Effective verbal and written communication skills
  • Strong interpersonal skills and the ability to work effectively with diverse communities
  • Ability to work independently and in collaboration with others
  • Experience with Microsoft 365 Office Products
  • Ability to organize, prioritize and meet deadlines accordingly
