Job description
Community Service, Inc is recruiting for an Administrative Specialist to support our staff in our Batesville office. Primary responsibility is to act as the gatekeeper of service delivery, including such tasks as coordinating admissions procedures per CSI policy and procedures.
DUTIES AND RESPONSIBILITIES:
Receive clients and visitors in a welcoming manner
Answer telephone, route calls, and relay messages timely and accurately with professionalism
Compose, type, and mail letters, memos, and other correspondence as needed
Manage referrals and communicate effectively and in a timely manner to assure procedural timelines are adhered to; document attempts and barriers to communications with families
Maintain electronic medical records per CSI policy, procedures and quality indicators, and perform other administrative duties as required or as requested by the Office Manager and Clinical Director(s)
Keep front desk logs.
Assure client insurance information is correct in the electronic medical record system and communicate changes to the billing and PA clerks
Forward record requests from clients and other entities to medical records staff
Schedule and cancel appointments and document in the electronic medical record
Operate and maintain various types of office equipment
Shall be aware of staff schedules and their location
Attend and participate in clerical meetings. Apply information from clerical meetings, meetings with supervisor, and emails to the daily tasks
Engage in Community Outreach
Perform other duties as assigned
EXPERIENCE AND TRAINING
High school diploma with one year of clerical experience too. Secretarial skills; ability to sit for long periods of time; ability to answer telephone and deliver messages; ability to establish and maintain effective working relationships with Directors, staff members, and the public; basic computer skills including proficiency in Microsoft Office programs; ability to manage multiple priorities and work within strict timeframes; professionalism and attention to details is required. Experience with EMR, working with at risk youth, juvenile justice court systems, Behavioral Health or related fields. Bi-lingual with English and Spanish is a plus.
