What are the responsibilities and job description for the Accounting Technician II position at Community Services Agency?
JOB SUMMARY
Under the general supervision of the Controller, this position is responsible for timely and accurate payroll processing and maintenance of all payroll records, preparation, processing and recording of business transactions; balancing ledgers; preparing accounting statements and financial reports; and processing accounts payable and accounts receivable. This position supports various processes as related to Agency grants, including required financial reports and funding requests. This position provides purchasing support to programs and manages and maintains contract records. The Accounting Technician II position performs similar responsibilities as the Accounting Technician I position with the addition of higher-level responsibility such as the bi-monthly payroll processing, maintenance of all payroll records and other higher-level duties as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Responsible for bi-monthly payroll processing and record-keeping.
2. Processes invoices and tracks all health, dental, vision, life insurance and COBRA billings.
3. Prepares, submits, tracks all accounts receivable billings to weatherization customers.
4. Prepares and reconciles travel arrangements for all agency staff, and processes travel advances and reimbursement payments.
5. Processes final pay checks for individuals terminating employment.
6. Ensures proper categorization and coding of expenses, prepares accounts payable batches and reviews accuracy of prepared batches for payment of vendor invoices and expense vouchers.
7. Prepares assigned monthly Requests for Reimbursement reports for grant expenditures.
8. Maintains a variety of files and records related to accounts payable.
9. Audits files periodically to ensure compliance with federal, state and local laws and regulations and Agency policies.
10. Prepares and records various business transactions such as journal entries, cash receipts, bank deposits, and purchase orders.
11. Enters and retrieves fiscal and statistical information using accounting and other computer software.
12. Prepares various accounting statements and financial reports.
13. Prepares Bank Deposits as necessary.
14. Receives, records, verifies, processes, transmits, copies and/or files a variety of forms, requests, purchase orders, invoices, in-kind reports, etc.
15. Posts data to and responsible for maintaining various ledgers, registers and journals according to established account classifications.
16. Researches and resolves accounting discrepancies.
17. Provides back-up support to other accounting staff as needed.
18. Performs a variety of general clerical duties, including but not limited to entering computer data, typing/preparing records and reports, copying and filing documents, answering the telephone, processing daily mail, utilizing the phone system, and running errands for the Agency.
19. Performs other activities as assigned.

JOB REQUIREMENTS/SKILLS
Ability to:
· Work effectively in an office environment. Sit for long periods of time in front of a computer;
· Read, analyze, and interpret government guidelines, technical procedures, and assorted journals;
· Respond to common inquiries or complaints from clients, committees, regulatory agencies, or members of the business or general community;
· Write reports and assorted business communications that conform to prescribed style and format;
· Effectively present information and respond to questions from groups of managers, clients, committees, and the general public;
· Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Knowledge of:
· Information system applications such as MS Word, Excel, and Access;
· Commonly-used concepts, practices, and procedures within the accounting field.
EDUCATION AND EXPERIENCE
Requires an Associate’s degree or its equivalent with 2-4 years of experience in the field or in a related area.
PHYSICAL DEMANDS
While performing the duties of this job, the individual must have the ability to exert some physical effort, such as walking, standing and carrying and lifting files and file boxes, verifying physical inventory of property and equipment; minimal dexterity in the use of fingers, limbs and body in the operation of the office equipment; may require extended periods of time at a computer keyboard; requires the ability to maintain effective audio-visual discrimination and perception required for communicating with others.
WORK ENVIRONMENT
Normal office environment.
Must be willing to submit to a drug and alcohol screening as well as an FBI background check. We are federally funded; therefore, cannibis/THC is not a legal substance.
