The Residential Program Coordinator oversees the overall functioning and service provisions of their assigned sites. This position is required to display leadership and act as a mentor within the department for both Site Managers and Direct Support Professionals by serving as a role model in Management Standards and Expectations and displaying ethical decision making. Residential Program Coordinators will model and promote Person Centered Planning, considering the dreams and goals of individuals being served and ensure quality services by discussing and proactively planning with Site Managers and Residential DSPs for active treatment of people served.
This position maintains a varied schedule, providing support to Site Managers as needed, managing emergency situations, and is assigned On-Call responsibilities on a rotational basis. Weekend availability will be included in this schedule.
Position Responsibilities
- Displays leadership and acts as a mentor within the department. Serves as a role model in adhering to Management Standards and Expectations. Displays ethical decision making.
- Models and promotes Person Centered Planning, considering the dreams and goals of individuals being served.
- Models, prompts, discusses and proactively plans with residential DSPs for active treatment of people served.
- Completes weekly site visits to each assigned IRA. Documents on-site audit. Ensures the presence of applicable Staff Action Plans, Life Plans, and Monthly Summaries. Ensures implementation of Residential Habilitation services.
- Ensures the daily and monthly notes are completed timely, correlate with Staff Action Plans, and meet billing standards.
- Completes data entry into Therap and assists with maintaining database to ensure files are updated and current.
- Ensures accurate billing and maximizes funding to meet all unit requirements.
- Oversees hiring, training and supervision of staff at assigned sites. Reviews supervision files monthly to ensure staff are trained adequately and being provided supervisory guidance.
- Hires, orientates, trains, and supervises Site Managers, ensuring Site Managers are knowledgeable about their job responsibilities and are meeting expectations.
- Ensures Progressive Performance Management is followed as needed with site staff.
- Ensures required paperwork is processed timely and accurately.
- Oversees the management of expenditures of petty cash, food stamps, and individuals’ personal funds.
- Oversees routine maintenance, security, repairs, and mileage documentation of IRA vehicles.
- Oversees the routine fire drill procedure and SCORS while ensuring follow through by Site Managers.
- Reviews and monitors the completion of communication, admission paperwork, discharge paperwork, annual paperwork (including applicable assessments), as well as the organization of case files.
- Participates and ensures follow through with the Agency Self Survey process. Ensures assigned sites are prepared and organized for surveys.
- Responsible for the monitoring of Plans of Corrective Actions and ensuring completion of required follow-up.
- Functions as the leader in development, training, and implementation of all services ensuring compliance with state and federal regulations as well as fiscal standards at each assigned site.
- Conducts screenings as requested.
- Oversees admission of individuals into assigned sites. Completes and/or reviews initial and program movement paperwork.
- Evaluates current needs of residents and facilitates the flow of information to staff.
- Ensures protection and care of residents through review of incident reports and completion of follow up reports.
- Cooperatively works with Care Coordinators with service provision and ensuring linkages as needed.
- If applicable, serves as QIDP.
