GENERAL REQUIREMENTS
• Supervises clinic resources to provide the highest quality of patient care by overseeing the patient flow and daily operations of the practice in conjunction with all providers.
• Responsible for Front Desk operations supervision. (opening and closing of the day, reconciliation of the money at the end of the day)
• Perform Guest Service Associate duties as needed.
• Ensures consistent enforcement of policies and procedures of CWH and CWH’s Dental Program.
• Responsible for PCHM collaboration and flow processes.
• Implements organization in-services and education of staff.
• Handle all patient complaints; address all dental patient complaints in a timely manner utilizing service recovery training.
• Serves as an active model in all aspects of Eagle Excellence Initiative and Fosters Eagle Excellence to ensure patient, provider and employee satisfaction
• Participates in the screening, hiring, orientation, training, performance evaluation of staff with provider input.
• Conducts orientation, counseling, and discipline actions, if necessary, for dental staff
• Report CWH’s Clinical Quality, Cultural and Finance measures to the respective forum. (I.E, OPA, QPI, LMT, EOC, etc.) Responsible for assuring the most rapid and highest quality encounter given financial and other constraints.
• Communicates directly with the Director of Dental Services regarding issues at practice as needed.
• Ensures supplies are ordered in timely manner.
• Ensures timely and accurate submission of time records.
• Maintain staff schedules, including Ryan White Dental Collaboration.
• Work all on department projects. (Quality, Culture, Finance, Governance)
• Ensure the coordination flow of lab cases and ensure timely delivery to CWH’s patients.
• Works with the Talent Management Department to develop and maintain comprehensive job descriptions and competencies for supportive and front desk dental staff.
• Ensures compliance within the dental program of all regulatory agencies. (HRSA, local, state, federal, etc.) and effectively meet all standards associated with Joint Commission Accreditation.
• Support other CWH dental sites as needed.
• Works with Talent Management Department to onboard Dental Student, serves as a liaison for dental students. (Residents, Dental Hygienists, Dental Assistants, etc.)
• Provides Dental Operation Report on a monthly basis to the Lead Dental Providers.
• Supervises training of Dental Staff on Dentrix and provides access for continuing education for multiple users within the dental department.
• Holds regular staff meetings/trainings to maintain open lines of communication.
• Completes periodic checks of all monies at the site, to include cash drawers, safe, change bags, daily deposits as needed.
• Leads and participates in continuous performance improvement.
• Maintains a professional working environment within clinic at all times, encourages team building relationships among staff in all areas.
• Keeps Dental Department informed of policy or other changes.
• Maintains Staff Schedule thirty-days in advance
• Oversees safe and risk free environment according to policies and guidelines as applicable by local, state, federal and accrediting agencies.
• Consult with Dental Providers as needed to ensure quality of care and positive patient experience within the practice.
• Participants in Community Activities in representation of CWH.
• Role model for staff by adhering to the stated mission, vision and values of the organization.
• Will perform routine assessments of the clinic’s productivity and work in conjunction with other supervisors in best use of clinic’s capacity.
• Ensure accurate referral, maintenance and other required departmental logs.
• Prepares patient for the dentist
o completes medical history review
o notes chief complaint in chart
o takes blood pressure and document
• Exposes and develops radiographs, according to standard protocols and/or dentist orders.
• Assists dentist during oral exam and treatment.
• Maintains dental instruments and equipment
• Cleans and maintains the dental operatories, sterilization and lab areas.
• Stocks operatories with adequate supplies at end of each day and as needed.
• Assists dental hygienist and clerk when necessary and feasible.
• Assists the patient in development of the patient’s Dental Self-Management goals and care plans.
• Focuses on the assessment, monitoring and proactive management of the healthcare needs of the patient population.
• Performs front desk duties in absence of dental receptionist or as directed by dental director.
• Pour impressions and trim models
• Fabricates custom trays.
• Responsible for purchase orders and ordering of monthly expendable supplies, as directed.
• Participates in continuing education on and off site as appropriate and feasible.
• Applies sealants to teeth as designated by the dentist.
• Polishes teeth following prophy of teeth by the Dentist and give oral hygiene instructions to patients.
• Takes alginate impressions as designated by the dentist.
• Adhere to OSHA, Infection Control/Spice Regulations
• Perform Sterilization of Dental Instruments and Dental Equipment
• Perform Autoclave cleaning/maintenance, Lab duties, eye wash station, monitor/record AED/Crash Cart, O2 Tanks, Expiration dates, Sharps containers, Refrigerator/Freezer, Glucose testing, and referral monitoring
• Assist RDH when feasible
• Other duties as assigned.
Required Skills
CERTIFICATIONS AND LICENSURES
• BLS Certificate from American Red Cross or American Heart Association
• Dental Assistant Program Diploma (If applicable)
• Radiography (X-Ray) Certification
• Infection Control/Sterilization Certification
• Medical Emergencies Dental Office Certification
• Coronal Polishing Certification
• Clean driving record with current NC driver’s license and approved by corporate vehicle insurance vendor for driving privileges
