What are the responsibilities and job description for the Client Relations position at Companion Animal Hospital?
Duties and Responsibilities include the following. Other duties may be assigned.
Greets and identify clients, patients and visitors as they enter the office in reference to the daily schedule and obtains additional patient information as needed.
Provides appropriate customer service in all client interactions and demonstrates ability to work professionally with clients in varying emotional states.
Answers multi-line telephone system, triage client phone calls, take accurate messages, screen and direct telephone calls to appropriate person in an efficient manner.
Relays appropriate information to/from clients to doctors and/or technician staff and management, paying special attention to urgent information.
Schedules appointments, surgical procedures, referral services, boarding and grooming services accurately and appropriately under the correct doctor or technician space.
Completes patient check-in procedures in a timely and efficient manner.
Monitors and assists in client flow from check-in to discharge.
Monitors schedule throughout the day, communicates schedule changes, emergency inclusions and back-ups to clients.
Performs appointment reminder calls and provides clients with pre-appointment and pre-surgical recommendations; follows-up on missed client appointments via telephone and provide statistical information to manager.
Manages and fax and email record requests between other hospitals and specialty practices.
Fills basic prescriptions including prescription diet and flea/tick/heartworm refills and provide routine instruction to owners concerning medication.
Provides client education regarding products and ancillary services; answers general client questions, referring any issues to the appropriate personnel.
Maintains a neat, organized and clean waiting room at all times and cleans reception and lobby area as needed and after pet accidents.
Collects payment and process payment transactions accurately and completes reconciliation of register drawer at the end of the day.
Provides accurate quotes to clients for services. Creates financial arrangements with clients for treatment as needed.
Maintains proper documentation in the electronic and paper medical records.
Maintains accurate dog boarding kennel records in accordance with county requirements.
Collects and documents laboratory specimens for analysis; submits to veterinary assistants for processing.
Performs daily procedure for opening and closing the building for services.
Update client files and prepare and mail thank-you, sympathy and welcome cards.
Participates in all practice marketing strategies and product promotions.
Follows all company policies and procedures paying special attention to patient care and safety.
Attends and participates in all staff meetings as well as attends all trainings required by the practice or state licensing requirements.
Adheres to the established daily schedule and maintains a flexible schedule to include weekend, evening, and emergency coverage hours.
Perform other related duties as assigned.

Pay: From $14.00 per hour
