POSITION SUMMARY
The Office Manager at Compass Construction plays a pivotal role in supporting the leadership team and keeping day-to-day operations running smoothly. This person must be methodical, highly disciplined, assertive, and capable of shifting gears quickly while maintaining accuracy. You’ll be responsible for streamlining processes, handling HR documentation, and acting as a dependable, proactive partner to company leadership.

highly organized and detail-oriented Administrative Assistant to join our team.
OBJECTIVES
- Answer incoming calls and act as the first point of contact for clients, vendors, and team members.
- Follow up on proposals and assist in closing service-related deals over the phone.
- Maintain, update, and audit internal policies and ensure documentation is current and accessible on a regular basis
- Handle HR-related administrative tasks including benefits documentation, safety protocols, employee relations (excluding payroll and recruiting),
- Responsible for managing insurance policies—including general liability, workers’ compensation, and others—across multiple entities, ensuring proactive rate reviews and timely renewals.
- Optimize operational processes—ensuring they’re documented, updated, and functioning efficiently.
- Collect and organize subcontractor documentation and processes.
- Monitor and maintain Google Reviews and other online business presence efforts.
- Ensure recurring tasks are completed daily, weekly, and monthly with accuracy and minimal error.
- Responsible for spearheading any projects assigned by leadership
- Liaise between all departments and at all levels within the organization, tracking any outstanding action items to completion and confidently moving projects forward
COMPETENCIES
- Proven experience in storing and retrieving digital files and maintaining databases
- Guard the executive’s’ time and access as a gatekeeper, determining which meeting requests to approve or deny—in alignment with the executives’ priorities and the organization’s goals
- Ability to take detailed recording note of meetings and coaching calls that identify main points and action items
- Ability to resolve any issues presented by clients or staff, to include addressing complaints and designing solutions with the utmost professionalism and a desire for win-win outcomes
EDUCATION AND EXPERIENCE
- 5 years of experience in an Office Manager or similar position
- Experience handling insurances and other functions within HR
- SHRM-CP, SHRM-SCP, or other HR certification (preferred)
- Degree (preferred)
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer
- This position will require travel - up to 15%
