Registrar (San Antonio, TX)
Position Reports To: Emily Cosman, Campus Operations Leader
Your Mission
You play a critical role in daily campus operations by providing world-class customer service to all stakeholders, such as campus leadership, teachers, parents/guardians, students, and other districts. Registrars are responsible for the clerical and technical tasks related to student records, such as enrollment, withdrawals, grades, attendance, school transfers, and health records. They process and preserve student information so it is easily accessible when needed.
Registrars are typically managed by the Campus Operations Leader.
You
- have a HS/GED at minimum
- have a certificate or Associate’s degree in office administration or related field preferred (or equivalent experience) preferred
- have school records experience preferred
- are Bilingual in Spanish
- can manage time, prioritize tasks, and execute toward goals
- have strong interpersonal skills
- have strong verbal and written communication skills to keep all stakeholders informed: network staff, campus leadership, teachers, parents, students, and school operations staff
- are proficient in keyboarding and electronic file maintenance skills
- can use a laptop and software to develop and populate databases and do word processing
- can track, enter, analyze, and monitor data
- model behavior that is professional, ethical, and responsible.
Your schedule
- Year-round position with general operating day hours of 7:30 AM - 4:30 PM
- Minimal in-town travel and after-hours events required
- Preferred start July before the start of a school year
- Full time, Non-exempt, 12 month
Compensation and Benefits
- Year-round position with annual salary ranging from $37,000 - $49,000, dependent upon experience

Your Responsibilities
Enrollment, Withdrawals and Attendance
- Oversee and participate in the registration process and obtaining documentation from families
- Process new student records, including requesting transcripts and records from other schools, setting up cumulative folders, and entering student data into appropriate databases.
- Ensure that daily student attendance and other required data is recorded in student information systems.
- Execute strategies to increase or maintain student attendance at 97% or higher YTP
- Coordinate with parents and campus teams to process withdrawals
Record Maintenance
- Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, schedule changes, and grade books.
- Manage student health compliance, student transportation, attendance monitoring, and intervention systems.
- Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
- Coordinate the grading process, verify and correct grades, and print and distribute report cards.
- Conduct enrollment, withdrawals, and transfer of students and process applicable records.
- Process and transmit requests for student information from parents and schools.
- Collaborate with your school operations team members to ensure school systems are running smoothly.
- Assist campus administration and counselors with preparing reports and student data information.

Other responsibilities

- Actively participate in the recruitment efforts for new families and students.
- Coordinate parent communication notices in both Spanish and English.
- Ensure the office is clean, organized, and welcoming to parents, staff, visitors, and students.
- Work with school vendors.
- Fulfill receptionist responsibilities as needed, such as answering phones, school emails, welcoming parents, tending to the reception area, etc
- Support the ordering of office supplies and uniform inventory.
