Position Overview The Project Coordinator will provide essential support to Project Managers by assisting with project documentation, procurement processes, scheduling, and logistical coordination. This role ensures smooth project execution by managing timelines, tracking approvals, organizing project documents, and facilitating communication between departments and vendors.
Key Responsibilities
Project Support & Documentation
- Track and manage submittal due dates, approvals, and comments.
- Monitor project document transmittals and approval timelines.
- Participate in customer meetings. Responsible for documenting meeting notes and distributing them to the project team along with action items.
- Assist with creating and monitoring project schedules in MS Project.
- Ensure proper folder structure and document organization in M365/SharePoint.
- Support the completion of project manuals by closeout.
- Verify and confirm As-Built documentation is properly stored in job folders.
Procurement & Logistics
- Monitor ETA of goods versus project schedules and payment terms.
- Coordinate shipping of equipment and vendor goods, including transportation scheduling and quoting.
- Manage vendor warranty claims and returns as provided by Project Managers.
Scheduling & Invoicing
- Assist in managing invoice schedules by setting reminders and calendar events.
- Track submittal and fabrication lead time to align with project needs.
Communication & Reporting
- Communicate key project timelines and any issues with deliveries or approvals.
- Ensure smooth coordination between operations, project teams, and vendors.
Qualifications
- Experience in project coordination, operations, or administrative support within an industrial, engineering, or construction-related field.
- Proficiency in Microsoft Office Suite, including Excel, SharePoint, and MS Project.
- Strong organizational skills with attention to detail.
- Ability to multitask and manage deadlines effectively.
- Excellent communication and collaboration skills.
This role is vital in ensuring project efficiency and smooth execution by supporting Project Managers with essential operational tasks.
Job Type: Full-time
Pay: $20.00 - $24.00 per hour
Expected hours: 40 per week
