The Patient Concierge is responsible for ensuring Complete Care is providing an unmatched experience for our patients on their health care journey. This begins from the moment a new patient makes their initial call to schedule an appointment throughout their exceptional clinical experience. This role is designed to assist patients in initial education of services offered, placement with appropriate provider(s) and with following the patient through their healthcare journey within the Complete Care clinics, ensuring specific checkpoints are met along the way. The Patient Concierge plays a vital role in enhancing the patient experience by providing exceptional customer service and support within a medical office setting. This position involves assisting patients with their inquiries, coordinating appointments, and ensuring that all administrative tasks are handled efficiently. The ideal candidate will possess a strong understanding of medical terminology and demonstrate proficiency in medical administrative support.
Responsibilities
- Take all new patient calls (when possible) for scheduling (if another team member schedules a new patient, Patient Concierge will make follow up call to patient) and log all new patients in the Patient Journey Spreadsheet for tracking
- Follow and ensure checklists and metrics are being met for each patient.
- Answer all questions new patient may have prior to initial visit
- Ensure all new patient paperwork is completed and received as well as any required medical records, prior to initial visit
- Build and foster relationships with new patients; finding something out about them and making their initial visit unique via a small purchase of special item of interest or joy for the patient
- Educate all patients through their journey on supplements and services provided at all Complete Care locations
- Educate and promoting services within the clinic including but not limited to: health coaching, chiropractic, primary care, supplements, etc.
- Backup front office when required including lunches and breaks with phone coverage.
- Work with the Practice Manager(s) and Clinic Director on ensuring proper education materials are available and given/shown to all new patients
- Provide weekly report tracking to the Practice Manager and Clinical Director on weekly activities, numbers of new patients, follow up reporting and addressing any concerns encountered during the week
- Perform Administrative and other duties as assigned
Skills
- Proficient in medical administrative support, with a strong understanding of medical terminology.
- Experience working in a medical office environment is preferred.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
- Strong interpersonal and communication skills to foster positive relationships with patients and staff.
- Detail-oriented approach to ensure accuracy in patient records and documentation.
- Ability to work collaboratively as part of a team while also being self-motivated to complete tasks independently.
This Position Requires:
- Minimum 1 year experience working in a medical scheduling role
- Strong organizational, problem solving and analytical skills
- Ability to effectively communicate with people at all levels and from various backgrounds
- Strong presentation and communication skills
- Ability to follow detailed procedures and direction
- Professional ability to manage multiple conflicting priorities
- Work successfully and expeditiously in an environment with constant change

Preferred Qualifications:
Associates Degree in Communication or Health Care Administration preferred.
