Overview
Provides business office administrative support to ensure efficient operation of H&H Water Controls, a long standing family run laboratory.
Duties
· Ensure filing systems are maintained and current.
· Assists the Office Manager and Lab Technicians.
· Completes scheduled invoicing.
· Coordinates with the Field Technicians to gather and enter data used for billing.
· Accurately and timely record data from Field Tech logbooks.
· Assist with lab data entry.
· Assist with municipal billing.
· Maintains a working knowledge of policies/procedures and serves as a resource for the business office team.
· Compose correspondence, reports, and other business-related materials/documents or review and edit other’s correspondence, reports, and/or business-related material.
· Exhibits polite and professional communication via walk-ins, phone, e-mail, and mail.
· Responsible for sorting, processing, and distribution of incoming and outgoing mail & packages.
· Ensures operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new office equipment and techniques.
· Professionally greets and assists all visitors and customers.
· Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for office supplies.
· Maintains confidentiality and access to all confidential information.
Job Qualifications
· High School Diploma or Equivalent
· One year experience in an office setting
· Proficient in Microsoft Office Suite – emphasis on Excel
· Proficient in QuickBooks
