Role Overview:
As a Practice Manager, you will oversee daily operations across multiple locations, focusing on workflow efficiency, staff support, and patient experience for practice growth. You will work closely with senior leadership to drive practice initiatives, optimize financial performance, and ensure operational excellence.
Key Responsibilities:
Operational Management & Efficiency
- Oversee daily operations at CPDI’s three locations: Paso Robles, San Luis Obispo, and Orcutt.
- Manager staff of 15 to 20 including scheduling and day-to-day supervision.
- Manage HR functions including recruitment, hiring, onboarding, and ongoing evaluations.
- Streamline workflows to ensure efficiency, high-quality patient care, and staff productivity.
- Support scheduling, billing oversight, and coordination across all offices.
- Identify operational challenges and implement solutions to enhance the patient's experience.
Leadership & Staff Development
- Lead clinic teams by fostering a positive, collaborative work environment.
- Act as a liaison between staff and doctors to ensure alignment with CPDI’s mission and values.
- Provide coaching and professional development to enhance staff performance.
- Conduct team meetings to reinforce best practices, problem-solving, and service excellence.
Financial & KPI Management (On-the-Job Training Provided)
- Work with leadership to understand and manage KPIs (new patient acquisition, case acceptance, collections, etc.).
- Assist with budgeting, payroll oversight, and cost management.
- Learn P&L analysis to drive profitability and cost efficiency.
- Monitor financial performance, reporting key trends to leadership.
Marketing & Growth Initiatives
- Support patient acquisition and referral-building efforts in collaboration with the marketing team.
- Help develop and execute local outreach strategies to strengthen CPDI’s reputation.
- Track marketing and patient engagement initiatives to measure effectiveness.
Patient Experience & Compliance
- Maintain CPDI’s high standards for patient care and satisfaction.
- Address patient concerns and implement solutions to enhance the patient journey.
- Ensure compliance with regulatory and safety standards across all locations.
Training & Career Growth
3-6 Months of On-the-Job Training in:
- Financial Management: P&L, KPI tracking, and budgeting.
- Leadership Development: Coaching and team management.
Qualifications:
- 3 years of management experience in dental, healthcare, or multi-location practice.
- Strong operational and leadership skills with an ability to problem-solve and drive results.
- Experience in scheduling, workflow efficiency, and patient service excellence.
- Basic understanding of financial performance indicators (or willingness to learn).
- Strong interpersonal skills, able to motivate teams and build positive office culture.
- Spanish language proficiency is a plus.
- Travel regionally between offices up to 75% of the time as well as periodic conferences for professional development. Anticipated weekly location schedule will consist of two days in Paso Robles, two days in San Luis Obispo, and one day in Orcutt.
Preferred Education
- Bachelor’s degree in Business Administration, Healthcare Management, or a related field.
- In lieu of educational degrees, additional years of experience in multi-location/office management.
Compensation & Benefits:
- Base Salary: $70,000 - $80,000 annually
- Performance Bonus: Up to $20K annually after 6 months (based on Net Operating Income over target)
- Health & Vision (eligible after 90 days, tiered 50% to 100% for employee only)
