Location: Sugar Land and The Woodlands
Work Hours: 8 am- 5 pm
Position Summary
DME Supervisor tasks include training new hires and team members on how to carry out the job duties. The role involves dispensing, setting up, and providing instruction to patients on the proper use of equipment such as CPAP, Bi-PAP, and other complex equipment and ensures that patients can effectively operate and maintain equipment.
Experience with inventory control, sales, customer service, and patient care technician, office coordinator will be considered.
Technical:
· Maintain the schedule of DME appointments in a timely manner and supervise other DME schedules ensuring staff operates with efficient time management.
· Set up/return equipment for patients, answering patient questions and troubleshooting equipment while consistently maintaining high-level of patient care and satisfaction at all times.
· Ensuring technicians’ paperwork is properly documented and maintaining proper documentation such as insurance, out-of-pocket expenses, payments, DME upgrade calculation sheets/ prescriptions, and billing-related documents in patients’ charts.
· Implement Medicare DME program.
· Manage the DME Resupply Program to include Medicare on a regular basis and work with management to ensure the program’s efficacy and productivity.
· May conduct downloads of recording devices such as CPAP devices and other respiratory equipment as directed.
· May assist with coordination of patient Positive Airway Pressure (PAP) instructions including assembly of paperwork instructions and other related tasks.
· Answer DME-related phone calls, return phone calls in a timely manner, and/or delegate to team members as necessary.
· Assists providers during clinic hours for patients with DME concerns.
Administrative:
· Submit DME equipment order requests and supplies to accounting in a timely manner.
· Conduct a monthly reconciliation of all items dispensed from the inventory control system and medical billing system.
· Conduct regular meetings with direct reports to ensure quality metrics are being met.
· Attend meetings with company leaders to report updates, pressing issues, and other DME-related concerns.
· Plan and conduct DME inventory which includes but is not limited to coordinating schedules with all locations and the accounting department.
· Perform post-setup order confirmation and data entry.
· Coordinate payments of DME supplies with the billing manager as needed.
· Maintain organization of all inventory, ensuring that all supplies are kept secured under lock and key.
· Observe clean workspace decorum.
· Handle in-house requests for audit for documentation purposes.
· Collect credit card/billing information as needed.
· Assist with patient scheduling, carry out scanning, filing, and faxing records on a routine basis.
· Understand and handle triaging of patients’ calls and concerns, i.e. which department leader should attend to the issue.
· Identify employee issues that require higher management or HR.
· Assist with all mailouts to patients from our facilities.
· Train new hire DME assistants.
· Performs other duties as assigned.

Education/Licensure/Certifications
- High School Diploma required. Associates degree preferred.
Knowledge and Experience
- 1 to 2 years of DME experience or 2-year experience as a medical office coordinator.
- Strong interpersonal skills and customer service skills are necessary.
- Proficient in Microsoft Office Suite, especially Excel is required.
- Detail-oriented and effective organizational skills are required.
- Bi-Lingual: English/Spanish preferred but not required.
