Job Summary

The Operations Support Specialist has an integral role in streamlining department workflow and coordinating key deliverables for the Director.
Primary Responsibilities
- Calculate weekly and monthly productivity numbers.
- Prepare quarterly reports, including researcher audit scores and yearly statistics for management review.
- Prepare and ship comprehensive referral packets in a thorough manner following the ComPsych and Work-Life branding and quality standards for all remote employees as needed. Includes Welcome Packet, giveaway items and resource guide mailings for Onsite Team.
- Create monthly utilization trend analytics as well as industry type trends for director to present at sales and account services meetings, including Excel pivot charts.
- Track and manage all Work-Life case and kit supplies and ensure timely reorder within budget limits.
- Calculate shipping costs and track kits delivered for reporting and budgeting purposes.
- Order and track Creative Services and outside vendor requests while maintaining budget allowance.
- Review tracking logs and billing statements for contracted providers. Calculate and submit payment forms to Accounting.
- Prepare monthly utilization reports for the Onsite team using Excel or Adobe PDF.
- Send payment set up forms for Onsite Providers to Accounting.
- Submit JIRA requests to change format of Work-Life reports as necessary.
- Order office supplies and track expenses for the Onsite Team.
- Update, prepare and maintain sample requests for sales department and Work-Life samples
- Proofread and edit documents for accuracy, ensuring that all materials for Work-Life and Onsite teams are clear, professional and consistent with organizational standards.
- Complete special projects as necessary or requested by Director including Excel pivot charts or other reporting tools.
- Provide basic office overviews for new hires as needed.
- Maintain time off calendar and team lists for Work-Life and Onsite departments.
- Work independently as well as foster a team environment by providing assistance when needed
- Perform other duties as assigned
Job Qualifications
- BS/BA Required
- Proficient with Microsoft Office Suite
- Proficient with Adobe
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Ability to manage budgets, track expenses and maintain accurate records.
- Administrative experience preferred
Other Requirements:
- Must have high-speed internet and workspace free from distraction, disruption or noise
- Ability to be on camera when attending work related trainings, meetings and/or events
- Must be able to sit or stand at desk for prolonged periods of time while working on a computer
