Overview
We are seeking a dedicated and organized Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office and providing support to various departments. The ideal candidate will possess excellent communication skills, a strong customer service orientation, and the ability to manage multiple tasks efficiently.
Duties
Assigned Duties and Responsibilities:
- Answering/follow-up and/or making calls
- Preparing mailers, address labels, etc.
- Basic filing and office organization
- Proficient with Microsoft Office skills
- Maintaining and developing spreadsheets in Excel
- Organization of marketing electric files
- Typing documents, letters, etc. in Microsoft Word
- Revising and developing PPT presentations
- Drafting and receiving emails
- Basic understanding of social media
- Basic training for scheduling and posting approved material on internal monitors
- If graphic design or marketing background, utilizing skills to perform related tasks within the Department of Water
- Perform inventory audits of marketing swag and organization of storage area to gain an understanding of ordering approved items and determining the lead time for orders
- Attend CSU Water Resource classes and plant tours to gain basic knowledge of COD Water Utility and its services
- Assist with managing the employee recognition program to include Dayton Dragon, Annual Meeting, High School Career Conference, and UD Flyers tickets
- Attend marketing meetings (as appropriate and possible)
- provide input for marketing collateral development
- Coordinate with other divisions for representation for all community events including attending those events to assist with educating our community about COD water quality, protection, and services
- Lead on Hydro Hero program development and work closely with, colleges, universities, schools, businesses, industries, community agencies, marketing agencies, and marketing representatives on this initiative
- 2-4 hour commitment at Water Department's booth or table passing out literature, swag, etc.
- Selecting, purchasing, and inventorying Hydro Hero swag
- listening and learning about the Department of Water to become a mini water advocate
- Creating opportunities for positive engagement(s) for participants in the Hydro Hero Program
· Assist with workforce development opportunities and professional staff development
