Position Details
Under the general supervision of a High School Principal or an Assistant Principal of an Adult Center, acts as secretary leading clerical workers performing office functions including : reception, record- keeping,scheduling, supplying, machine operation including composition and mail distribution.
Essential Functions - Typical Duties
Meet, greet visitors, callers, pupils in person and on telephone; ascertain needs; provide materials / data / service or refer / take messages; place calls to secure material / service / information; receive, sort, route mail; maintain order in school office; administer minor first aid / medication to injured, ill pupils, employees; call parents for pick-up when pupil is ill, injured, excluded, abandoned; provide support and attention to pupils; greet, assign, equip and orient substitute teachers; keep order in school office; place phone calls to request / relay important information.
Compile, collect and record data on appropriate forms / reports for : enrollment, time, attendance, accident reports, transfers, lunches and student body funds; design, set up and operate file systems including alpha, numerical, chronological, without index / cross reference.
Prepare / compose letters memos, activity programs, reports, bulletins, schedules, weekly and monthly calendars, surveys, proposals, student / teacher handbook, teacher objectives / evaluations by operating word processors including personal computer and typewriter and copier equipment including duplicators, laminator, stencil maker; operate calculator, school bell systems and intercom; proofread for grammar, spelling, punctuation, completeness and accuracy.
Make appointments and record them; schedule use of facilities; reassign teachers to cover absences; set up weekly school calendar.
Estimate stock levels of office and classroom supplies; order supplies to maintain stock levels, calculate extension of prices; fill orders for classroom supplies; check incoming supplies to determine shortage issue to teachers / employees / students.
Assign, direct, control flow of work to clerical employee / students; evaluate / grade employees / students; train employees / students; assist in selection of clerical employees; conduct staff development meetings.
Perform other related duties as required.
Minimum Qualifications - Education and Experience
Equivalent to graduation from high school. Two years full-time secretarial experience supplemented by vocational business courses.
LICENSES AND OTHER REQUIREMENTS :
Must obtain a First Aid certificate prior to completion of probationary period. Incumbents in this classification required oral and written abilites in second designated language.
