Position Summary:

The Bookkeeper is a mid-level position in the Accounting Department and is responsible for reporting to the Chief Accounting Officer. This role encompasses a diverse array of  financial responsibilities including documentation and posting of transaction details, validation and entry of accounting data accuracy, recording of financial transactions, maintaining accounting records, comprehensive analysis of expenditure patterns, matching Purchase Orders to Vendor invoices, continuous monitoring of the company’s financial health, efficient administration of financial and accounting software utilized by Compu-Mail, and promoting reporting to the Chief Accounting Officer regarding any discrepancies. 

Additionally, this role involves safeguarding customer and vendor confidence while protecting company operations by maintaining strict confidentiality of financial information.  

**Note, this position accommodates either part-time or full-time status, depending on the candidate’s availability and preferences.

 Essential Functions:

  • Processing and preparing checks or electronic payments
  • Reconciling accounts payable transactions
  • Resolving invoice & PO discrepancies
  • Maintaining and managing vendor files
  • Preparing a trial balance for the accountants
  • Maintaining a balanced general ledger
  • Maintaining confidentiality of organizational information
  • Conduct a monthly reconciliation of postage stamps/meters
  • Conduct periodic reconciliations of all accounts to ensure their accuracy
  • Maintain an orderly accounting filing system
  • Follow systems to account for financial transactions by the chart of accounts
  • Maintaining subsidiary accounts by posting, verifying and allocating transactions
  • Comply with local, state, and federal government reporting requirements
  • Provide senior management with post project analysis summary
  • Managing W9/1099’s, setting up vendors in QuickBooks and processing P.O.’s
  • Maintaining records of financial transactions by posting and verifying
  • Preparing financial reports by collecting, analyzing and summarizing accounting for information
  • Ensuring compliance with federal, state and local legal requirements
  • Monitoring variances from the projected budget
  • Deep understanding of accounting principles
  • Attention to detail
  • Data entry accuracy

 

 

 

Education and Experience:

An Associate Degree in finance, accounting, math, or any other related field or an equivalent combination of education and experience in lieu of a degree.  

   

Knowledge, Skills, and Abilities:

  • Proficient computer computational skills
  • Proficient in Microsoft Office Suite
  • Excellent communication skills, both written and verbal
  • Demonstrate excellent interpersonal/relationship skills
  • Proficient analytical, decision making and problem solving
  • Excellent prioritizing and time management skills
  • Exceptional organizational skills
  • Ability to independently handle intricate details, self-motivation and keen attention to details
  • Ability to follow standard operating procedures and accounting principles
  • Experience with accounting software (Quick Books)
  • Ability to maintain confidentiality, handling sensitive financial information in a professional and ethical manner.
