We are currently seeking an experienced, self-driven Executive Assistant to the President. To manage the President’s calendar, manage priorities of President and corporate entities, act as a liaison and facilitator with corporate team members and handle highly confidential material on a regular basis.
Responsibilities:
- Manage the President’s calendar. Use good judgement in identifying critical items, arrange meetings/calls and make scheduling changes
- Judiciously manage priorities of President and corporate entities
- Prepare correspondence and documents
- File, organize and maintain records in paper and digital formats
- Act as liaison and facilitator with corporate team members
- Order office supplies
- Handle highly confidential material on a regular basis
- Manage the President’s travel arrangements and track travel history related to government clearances
- Support various department managers with clerical tasks as needed
- Prepare presentation material for the Board of Directors meeting and coordinate meeting logistics, including meals. Assist members of the Board with their travel arrangements, transportation, and accommodations
- Review approval requests (expense reports, agreements, etc.) for accuracy and compliance with company policies
- Greet visitors
- Other administrative and project related duties as assigned
Requirements:
- Bachelor’s degree in a related field
- 5-10 years of administrative experience, preferably as a paralegal
- Proficiency in all Microsoft Office programs is required including Excel, Outlook, Word and PowerPoint
- Strong verbal and written communication skills
- Excellent time management and organizational skills
- Problem-solving and strong attention to detail
- Skills to build rapport and handle sensitive and unexpected situations
- Ability to work independently and/or with general guidance
- Ability to exercise considerable discretion, judgment, tact and diplomacy and maintain confidentiality
