Job Summary :
The Administration Support role is responsible for managing the full lifecycle of records generated by operational business processes, ensuring the accurate handling, organization, and disposition of critical business records. This position also provides key support for the Quality Management Team, particularly in relation to AS9100D compliance audits, customer requests, and quality stamp program management. The role requires attention to detail, strong organizational skills, and the ability to interact effectively with both internal and external stakeholders.
Key Responsibilities :
- Record Management :
- Manage the lifecycle of operational records, including gathering, sorting, scanning, filing, maintaining, troubleshooting, and dispositioning business records in compliance with company standards.
- Ensure records are organized and cataloged electronically to meet customer contracts, FAR, and AS9100D requirements.
- Audit Support :
- Provide administrative support for internal and external audit activities, including audits required by customer contracts, FAR, and AS9100.
- Act as an audit guide during internal and external audits to ensure compliance with required standards.
- Quality Stamp Program Management :
- Oversee and maintain the internal Quality Stamp Program, ensuring all documentation and quality-related processes are managed properly.
- Data Management & Analysis :
- Create and maintain databases to track quality-related data.
- Perform research and data analysis to support Quality and Operations teams.
- Customer & Third-Party Support :
- Interface with both internal and external stakeholders, providing necessary information and explanations related to quality processes, customer visits, and third-party requests.
- Administrative Tasks :
- Assist with ad-hoc clerical and administrative tasks, including supporting the BCS Quality Management Team on various projects and tasks.
- Fulfill customer information requests and collaborate on special projects as needed.
- Problem Resolution & Process Improvement :
- Identify problems in routine tasks and resolve them effectively.
- Follow established processes to complete tasks while ensuring high-quality outcomes.
