Job Summary :
The Occupancy Planner is responsible for managing space planning and utilization within a corporate real estate environment. This role involves conducting site assessments, optimizing space usage, preparing detailed reports, and collaborating with key stakeholders to ensure the efficient and effective use of space. The Occupancy Planner will work with IWMS systems, assist with large move projects, and analyze space utilization data to identify areas for improvement.
Key Responsibilities : Conduct site assessments and surveys to ensure accurate occupancy, furniture, space type, and client data.Prepare and present detailed space options to Real Estate leads, ensuring all proposals meet client needs and program standards.Optimize space usage for efficiency, functionality, and compliance with core program standards.Analyze space utilization data and make recommendations for improvements.Proactively identify and implement solutions for space management issues.Maintain a working knowledge of space management systems and best practices.Receive, process, and manage client move requests, ensuring timely and accurate execution.Participate in planning meetings hosted by clients and other key stakeholders.Create and plan move phasing documentation, detailing how large move projects will be broken down and completed.Prepare and update move status reports, tracking changes in move scope and requirements.Collaborate with the team to support broader space management projects and initiatives.Work with IWMS (ManhattanOne) system management, including updating floor plans (via AutoCAD) and managing space and move data.Create proposed floor plan layouts, operational project floor plans, and event space layouts.Adjust space plans to accommodate change requests or client needs.Manage ticketing for new hires, space, move, and other specific requests in the assigned region.Update and establish space stacking plans and floor block plans, conducting space analysis and creating various occupancy options based on data.Conduct physical space audits to document and validate occupancy, collaborating with onsite teams to ensure compliance with space audit protocols.Provide Excel analysis of CAFM data to support planning scenarios and decision-making.Develop and deliver presentations that effectively communicate space planning options and strategies, using visuals to enhance understanding.Strive to maintain accurate, up-to-date space and occupancy data.Update the database with HR data for new hires, terminations, and moves.Support quarterly audits by physically walking spaces and updating data as needed, collaborating with onsite teams for audits and reporting of sites outside the assigned territory.Required Qualifications : Minimum of two to four years of experience in space planning, design, occupancy planning, or workplace management in a corporate real estate environment.Background in design, architecture, workplace planning, and strategy (preferred).Intermediate to advanced proficiency in Microsoft Office (Excel, PowerPoint, Word).Excellent communication skills, with the ability to coordinate and collaborate across multiple teams and departments.Advanced ability to read and understand building drawings and floor plans.Experience with CAD or other drafting software.Familiarity with space planning software and IWMS / space management software.Strong attention to detail, with the ability to multitask and manage shifting priorities and requirements.Ability to work independently and as part of a team, with excellent interpersonal skills.Willingness to work nights and weekends as required to support move operations.
Preferred Qualifications :
