Job Title: Administrative Coordinator
Position Overview:
We are seeking a proactive and detail-oriented Administrative Coordinator to support department operations through effective coordination of budgeting, procurement, onboarding, and administrative functions. This role requires excellent organizational and communication skills, as well as the ability to adapt in a fast-paced environment.
Key Responsibilities:
- Manage capital project requisitions and facilitate entry into internal databases and systems for purchase order (PO) creation.
- Monitor and manage department operating budgets, including monthly accruals on capital project POs.
- Track and process pay requisitions and capital budgets, and maintain accurate PO records.
- Coordinate catering for department events held on- or off-site.
- Oversee the new hire onboarding process, including IS requests for equipment such as computers and mobile phones.
- Perform daily administrative duties, including ordering business cards, managing mail, procuring office supplies, maintaining visual management boards, and booking conference rooms.
- Support the scheduling and coordination of department meetings and events.
- Utilize internal database systems (full training provided).
Required Qualifications (0–5 Years of Experience):
- Strong verbal and written communication skills.
- Excellent organizational skills to manage multiple projects simultaneously.
- Ability to work effectively in a dynamic, fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, SharePoint, Outlook, Teams).
- High school diploma or equivalent.
- Willingness to travel for business to other facilities for on-the-job training if required.
Preferred Qualifications (Bonus):
- Experience with SAP.
- Experience with Ariba.
- Schedule management and coordination experience.
- Previous administrative role in a similar industry or organization.
Job Types: Full-time, Contract
Pay: $24.00 - $26.00 per hour
Expected hours: 40 per week
