Position: Program Coordinator
Location: Providence, RI (Hybrid)
Duration: 12 Months
General Statement of Duties:
· The Program Coordinator – Facilitator will play an integral role in processing rebate applications submissions, managing incoming calls and customer service inquiries, collecting and entering data in databases and maintaining accurate records of valuable information for the office’s federal home energy rebate programs, and other programs that may be implemented by the office in the future. This position will also provide support on federal and state legislative matters, and community affairs and engagement.
Duties and Responsibilities:
Rebate Programs Documentation & Reporting:
· Process applicant and account source documents by reviewing data for deficiencies.
· Verify data accuracy.
· Collect and transfer data from online portal format to program spreadsheet.
· Establish databases and other data management tools to effectively track project status, impact, and cost.
· Analyze and organize data for inclusion in quarterly/annual reports, websites, presentations, and other communications.
· Engages with applicants and assists with basic rebate and application questions.
Project Management:
· Schedule and attend regular project team meetings.
· Take meeting minutes for each meeting.
· Facilitate project discussions and ensure project implementation proceeds smoothly.
· Troubleshoot, alongside OER team, any issues encountered during project execution.
Support & Coordination:
· Prepare and update weekly legislative tracker.
· Prepare and update federal grant tracker.
· Draft letters for RI House and Senate committee hearings.
· Attend RI House and Senate committee hearings which are scheduled in the late afternoon/early evening hours.
· Draft letters of support for federal grant applications.
· Assist with development of annual reports due to the RI General Assembly.
· Plan and staff events.
Miscellaneous:
· Execute additional tasks as required.
Requirements:
· Associate degree in a relevant field or comparable experience.
· Proficiency in Microsoft Office Suite – especially Microsoft Excel.
· Data entry experience or related office experience.
· Proven capability to juggle various tasks and adhere to strict deadlines.
· Exceptional organizational and communicative abilities.
· Advanced writing and editorial skills.
· Ability to maintain customer confidence and confidentiality.
Preferred:
· Background in the energy sector or a governmental environment.
Job Type: Contract
Pay: $30.00 - $35.00 per hour
Expected hours: 40 per week
Schedule:
- 8 hour shift
