What We Are Looking For:
We are seeking a Regional Administrative Assistant to support the day-to-day operations for the Southwest States in Las Vegas, NV or Phoenix, AZ. This role will assist the Regional Vice President, Senior Regional Portfolio Managers, and Regional Portfolio Managers in various projects, and presentations as well as general office duties.
This is a full-time position with full benefits. Pay range: $25.00 - $26.00 per hour
Key Responsibilities:
Administration:
- Track and manage reports and deliverables for stakeholders.
- Gather, review, and submit required reports.
- Process bonuses for on-site associates.
- Manage Outlook calendars for meetings and events.
- Handle vendor set-up and regional expense workflows.
- Process expense reports for senior leadership.
- Generate and distribute meeting minutes, memos, emails, and reports.
- Process invoices within regional budget guidelines.
- Address inquiries from residents, clients, and others.
- Sort and distribute mail to regional staff.
- Answer incoming calls and assist with reception duties when needed.
Support:
- Assist Regional Portfolio Managers (RPMs) and site associates with lodging for displaced residents.
- Set up local utilities for onboarding/offboarding properties.
- Arrange business travel for leadership and associates.
- Assist with annual Employee Rent Adjustments.
- Help plan company events and ceremonies.
Other Duties:
- Perform additional tasks as assigned.
Who You Are: (Requirements of the Position)
- You have 2 years of administrative experience.
- You have previous experience supporting a regional Vice President highly desired.
- You can provide exceptional customer service and can effectively multitask in a fast-paced environment.
- You have excellent communication skills, both verbal and written, with the ability to interact with residents, vendors, and team members professionally.
- You have proficiency in MS Word, Excel, and Outlook; experience with Yardi and/or MRI is a plus.
- You are physically able to lift and carry items weighing up to 25 pounds.
