Job Title: Dental Receptionist
Job Summary:
We are seeking a friendly, organized, and detail-oriented Dental Receptionist to join our team. The ideal candidate will be responsible for managing daily front office operations, ensuring a welcoming environment for patients, and supporting efficient scheduling and records management. This role is essential in delivering excellent customer service and maintaining the smooth operation of the dental practice.
Primary Responsibilities:
Manage the day-to-day operations of the dental front desk, including patient interactions, appointment scheduling, and administrative tasks. Duties include but are not limited to:
- Handling and maintaining electronic patient records with accuracy and confidentiality.
- Scheduling new and returning patient appointments efficiently.
- Maintaining the cleanliness and organization of the front desk and reception area.
- Managing incoming and outgoing communication, including phone calls, emails, and mail.
- Directing inquiries and correspondence to the appropriate team members.
Specific Duties:
Reception Management:
- Greet and check in patients with professionalism and warmth.
- Ensure the front desk is open and closed per office protocol.
- Answer incoming phone calls in a timely, professional manner (within three rings) and handle voicemail messages appropriately.
- Monitor and maintain reception area cleanliness and organization, including patient education materials.
- Ensure HIPAA Notice of Privacy Practices is prominently displayed.
- Monitor and maintain the cleanliness of the patient restroom, checking at least twice daily.
- Maintain an adequate stock of reception supplies and coordinate orders with the Office Manager.
Patient Management:
- Welcome patients and visitors warmly to create a positive first impression.
- Verify and update patient information at check-in.
- Manage patient recall and follow-up systems to encourage regular visits.
- Confirm upcoming appointments according to patient preferences and office protocol.
- Assist patients with understanding office policies, financial policies, and cancellation procedures.
- Handle appointment follow-up calls as needed.
Records Management:
- Gather and accurately record insurance details from new and existing patients.
- Maintain and update patient records in compliance with HIPAA regulations.
- Ensure all patient consent and HIPAA forms are signed and current.
- Organize and prepare charts and radiographs for the next day's appointments.
- Track referrals and coordinate with other dental offices as needed.
Inventory & Office Participation:
- Monitor and order office supplies as necessary.
- Actively participate in staff meetings and contribute to office improvement initiatives.
- Assist with additional administrative tasks assigned by the Office Manager.
Correspondence & Communication:
- Sort, organize, and distribute incoming mail and office communications.
- Prepare and send thank-you letters to new patients and referrals.
- Send out appointment reminders and recall notices per office protocol.
Qualifications & Skills:
- High school diploma or equivalent required.
- Prior experience in a dental or medical office is preferred but not required.
- Proficiency with dental software (e.g., Open Dental) is a plus.
- Strong interpersonal skills and a friendly, professional demeanor.
- Excellent verbal and written communication skills.
- Ability to multitask and stay organized in a fast-paced environment.
- Strong customer service skills and a patient-focused attitude.
- Ability to adapt to office policy changes and improvements.
- Efficient and accurate data entry skills.
