As the Client Services Coordinator, for our Label Group, your primary mission is to ensure that our artists, producers, and mechanical royalty recipients receive accurate and timely royalty accounting & payments, and the highest level of service. You will serve as a key contact internally for all label group royalty-related inquiries and functions, collaborating with our label's A&R, Business Affairs, Finance, and Royalty Services teams.
Responsibilities
What you’ll do:
- Serve as the main point of contact for all artist, producer and publisher royalty-related questions, ensuring timely and accurate responses.
- Assist clients with our online royalty portal system, including the setup of new accounts and troubleshooting any issues that arise.
- Facilitate the onboarding of new royalty vendors and manage ongoing maintenance of vendor accounts, ensuring that tax and bank details are current. Assist with updating information and processing change of payee requests as needed.
- Collaborate with administrative teams to manage the quarterly royalty distribution process across, ensuring compliance with vendor requirements and adherence to strict deadlines and control procedures.
- Serve as the primary point of contact for individuals regarding unclaimed property inquiries, including assisting the collection of payment and tax details from individuals responding to our unclaimed property due diligence notices
- Maintain consistent communication with upper management regarding payment status and progress within Artist Royalties, promptly flagging recurring issues, trends, and potential client experience challenges, such as communication errors or omissions.
Qualifications
What you'll need:
- Comfortable working with large data sets (20,000 rows) in Excel, Google Spreadsheets, or similar large datasets
- Prior experience working in a client or customer-facing role
- Strong verbal, written, and interpersonal communication skills • Ability to work both independently and within a team
- Ability to multitask, adapt to changing priorities, and maintaining composure under stressful/ time sensitive situations
- Are Bi-lingual (Spanish preferred)
- 1 years' experience working in an administrative role at a music company
- Prior experience working in CRMs or ticketing systems (HubSpot, Zendesk, Salesforce, Freshdesk, Jira Service Management)
- Ability to multi-task and thrive on a small team in a fast-paced environment
- Are bilingual (Spanish-speaking)
*This is a hybrid role requiring 3 days minimum on-site.
