Position Overview:
The Landscape Office Manager will play a key role in the day-to-day administrative and operational functions of our landscape company. This position requires someone who is detail-oriented, proactive, and capable of managing multiple responsibilities simultaneously. You will support both the office team and field operations, ensuring that processes are streamlined, client communications are effective, and the company runs efficiently.
Key Responsibilities:
- Administrative Support: Handle general office duties such as answering phones, responding to emails, filing, scheduling, and managing client records.
- Customer Service: Serve as a point of contact for clients, addressing inquiries, scheduling appointments, and coordinating follow-ups.
- Project Coordination: Assist in organizing and scheduling landscape projects, ensuring that field teams have the necessary resources and information for successful execution.
- Invoicing & Billing: Oversee invoicing processes, track payments, and assist with billing inquiries. Ensure timely and accurate billing for both ongoing and completed projects.
- Inventory Management: Monitor inventory levels of equipment, materials, and supplies, placing orders as necessary to ensure the team has what they need.
- HR and Payroll Support: Assist with onboarding new employees, maintaining personnel records, and preparing payroll information for submission.
- Document Preparation: Prepare estimates, proposals, and contracts, ensuring that all necessary information is included and up-to-date.
- Scheduling and Calendar Management: Coordinate appointments, meetings, and field schedules for landscape crews and management.
- Quality Assurance: Assist in tracking service quality, collecting customer feedback, and identifying areas for improvement.
- Compliance and Safety: Ensure all required documentation for safety, permits, and licensing are up to date and compliant with local regulations.
Qualifications:
- Proven experience in office management or administrative roles, ideally in the landscaping or construction industry.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and basic office equipment (copiers, fax machines, etc.).
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Basic understanding of landscape services, terminology, and operations is preferred but not required.
- Experience with accounting software (QuickBooks or similar) is a plus.
- Strong customer service orientation and professional demeanor.
- High school diploma or equivalent required; associate’s degree or higher preferred.
Preferred Skills:
- Experience with landscape project management software or CRM systems.
- Knowledge of payroll systems and human resources processes.
- Familiarity with OSHA safety regulations and industry standards.
