Position Summary
The CLV Advancement Specialist serves as a key support role for CLV leadership, reporting to the Director of Development and working closely with the Executive Director of the Concordia Language Villages ( CLV ). The primary role of this position is to provide professional administrative and operational support for CLV’s development and alumni engagement efforts. This position involves administrative support, event planning, donor stewardship, external stakeholder engagement, and alumni relations.
Position Responsibilities
Development & Alumni Relations Support – 70%
Provide high-level administrative support for donor and grant-related initiatives, working closely with the Executive Director for CLV and the development team, and building relations with CLV program directors and deans and national advisory committee members to extend the reach of the development team.

This position involves administrative support, event planning, donor stewardship, external stakeholder engagement, and alumni relations.
Position Responsibilities
Development & Alumni Relations Support – 70%
Provide high-level administrative support for donor and grant-related initiatives, working closely with the Executive Director for CLV and the development team, and building relations with CLV program directors and deans and national advisory committee members to extend the reach of the development team.
Development Support
- Assist in the coordination and execution of fundraising campaigns, major donor outreach, and stewardship activities.
- Event coordination for donor and advancement events, including dignitary visits and high-profile Village events.
- Provide logistical and administrative support for fundraising appeals, mailings, and donor communications, including assisting with creation and review of materials to be distributed and overseeing communication with donors.
- Provide coordination for annual giving activities, including creation of donor and prospects from existing databases, and assist with appeals and community fundraising events.
- Using electronic channels, such as email, social media, or alumni engagement software, cultivate relationships with CLV alumni, current and former staff, and families to promote giving and increase engagement.
- Recruit, train, and advise volunteers in order to promote giving and alumni involvement.
- Assist in maintaining a comprehensive database of donors, alumni, and key stakeholders. Create new and update constituent records as needed and work to identify and establish contact with alumni.
- Maintain donor records, manage gift acknowledgments, and ensure accurate data entry in donor databases. This includes daily gift batching and receipting, processing gifts according to industry best practices, preparing, distributing gift acknowledgements in a timely manner, and managing receipt information for donors.
- Maintain all donor files and create year end giving summaries as requested. Maintain alumni records and tracking impact of outreach.
- Prepare and execute scholarship thank you initiatives.
- Support the grant-writing process, including assisting with budget preparation, and compiling reports for submission.
- Calendar management for CLV executive director and CLV’s director of development, including scheduling meetings, arranging travel, and coordinating appointments.
- Support the CLV executive director and director of development’s involvement with external boards and committees.
- Assist with correspondence, drafting letters/emails, running reports, meeting minutes, and monthly P-Card reconciliation.
- Coordinate logistics for CLV employee and committee meetings, national advisory council meetings, and executive leadership team gatherings. This includes coordinating Zoom set up and recording for meetings, summarizing meeting notes, and executing organization-wide surveys and other assessment surveys relevant to CLV team meetings.
- Manage office operations for CLV development team, including technology procurement, phone systems, and supply management.
- Act as a liaison between the CLV offices in Bemidji, Moorhead, and St. Paul, ensuring smooth communication and operations, including maintenance of listservs and internal staff directory and administering CLV SharePoint, and all- CLV meeting scheduling, management, and minutes/note sharing.
- Experience in advancement services or administrative support, preferably in nonprofit fundraising, donor relations, alumni engagement
- Strong proficiency in Microsoft Office and database management
- Excellent organizational and time-management skills
- Knowledge of basic accounting, expense tracking, and financial reporting
- Experience coordinating fundraising events and donor outreach
- Familiarity with grant writing and reporting
- Background in higher education, international programs, or study abroad experience
