Essential Job Functions
- Partners with Chief Operating Officer, Chief Financial Officer, Chief Investment Officer and Administrative Director, President’s Office to provide high touch executive support, relationship management and coordination and execution of department and company initiatives.
- Assesses issues, needs, and situations for prioritization and dissemination to appropriate personnel including effective escalation to C-suite.
- Uses independent judgement to address and resolve concerns, requests and situations within scope utilizing appropriate resources.
- Manage and prioritize schedules, functions, meetings and appointments of the Chief Financial Officer, Chief Investment Officer and Chief Operating Officer, coordinating across departments and stakeholders.
- Participates in various departmental and team meetings and proactively coordinates follow-up actions.
- Assists in effective communication by maintaining, anticipating and recommending communication as well as composing, preparing and coordinating correspondence, presentations and manuals.
- Coordinates various aspects of intradepartmental and interdepartmental communication as necessary.
- Represents and/or acts on behalf of the Chief Financial Officer, Chief Investment Officer, Chief Operating Officer or Administrative Director, President’s Office as directed.
- Conducts research, analyses data and coordinates special projects as defined by management.
- Assists with the successful management of projects within and across operations, finance and investment. Works cross-functionally to prioritize needs, maintain timelines address questions/issues and implement changes.
- Serves as a liaison on various committees and teams as assigned by the Chief Financial Officer, Chief Investment Officer and Chief Operating Officer.
- Uses technology and best practices to drive productivity and innovation.
- Serves as liaison to employees, outside entities, plan members, consultants, vendors, and building management.
- Maintains office efficiency by planning and implementing office systems, layouts and equipment/furniture procurement.
- Overseas office moves and department redesign projects.
- Coordinates and administers corporate travel management program.
- Provides in-depth administrative support to the CPS Board, including support to multiple Board committees.
- Coordinates meeting arrangements for Board and Board Committee meetings for members of the Boards and Executive Team, including travel planning and arrangements.
- Practices high level of discretion and confidentiality as role entails knowledge and access to confidential corporate matters.
- Associate’s degree or equivalent experience, preferred.
- Minimum of five years of administrative experience, preferred.
- Experience supporting executive team members (AVP, VP, C-suite), preferred.
- Proficient in Microsoft Word and PowerPoint.

- Systems fluency: skilled in use of calendar management systems, specifically MS Office suite with emphasis on Outlook; experience with system and collaborative tools (websites, social media, etc.)
