Position Summary
This is a part-time (20 hours/week) hourly position that is grant-funded. The Coordinator of Events & Facility Rentals is responsible for assisting in the coordination of university events, facility rentals, and events held on campus by external organizations.
This position interfaces with Concordia staff, faculty, and students across the university. Key interaction on a regular basis is with Residence Life, Athletics, Campus Safety, Audio Visual, Housekeeping, Maintenance, Food Service, Marketing & Communications, Admissions, Advancement, School of Business, and external groups. This position is an enthusiastic supporter of Lutheran higher education who exhibits Christ-centered servant leadership and a dedication to Concordia University Wisconsin. This is a part-time hourly position located on the Mequon campus and reports directly to the Coordinator of Events & Facility Rentals.
Job Duties & Responsibilities
- Under the direction of the Coordinator of Events & Facilities Rentals, assists with all aspects of event execution for university events, specifically including events for the Robert W. Plaster Free Enterprise Center (Center).
- Helps with all aspects of event planning, including day-of event responsibilities. Other duties can include identifying venues, creating agendas, interfacing with speakers and event participants, and making accommodations.
- Facilitates the marketing and management of all Center events and activities, including email lists, social media presence, creating promotional materials, processing registrations for events, pre- and post-event follow-up with attendees.
- Uses EMS to reserve spaces on campus for events, posts events on the campus calendar and spreadsheet.
- Carries out all aspects of university events such as set-up, catering, billing, advertising, and post event follow-up.
- Assists with financial responsibilities for events, including invoicing, expenses, and payments, as directed.
- Develops relationships with stakeholders and ensures that all events promote a positive image of the campus and reflect the brand, values, and culture of Concordia.

Knowledge, Skills, & Abilities
- Excellent customer service and communication skills
- Strong organizational skills, writing skills, and detail-oriented
- Ability to create promotional materials for events
- Ability to handle many events and projects at various stages of completion
- Proficiency in Canva, Hometown Ticketing, EMS, Word, Excel, Zoom, and Outlook preferred
- Supportive of the mission and values of Concordia University Wisconsin/Ann Arbor and the Lutheran Church Missouri Synod (LCMS)
Education & Experience
- Bachelor's Degree required
- Marketing, event planning, and social media/website experience preferred
- Flexibility of work hours, to include occasional evening and weekend hours
- Strong alignment with university's mission and values

Compensation & Benefits
This is a part-time, non-exempt (hourly) position. The starting wage maybe determined upon education and/or experience. There is a tuition waiver benefit for part time employees.
