INTRODUCTION:
This position provides support to the Lincoln City and Siletz Community Health Clinic by facilitating the coordination of patient visits by scheduling, checking in/out, including updates and new patient registration, processing insurance information, obtaining and processing health information, including but not limited to scanning and faxing documents.
DUTIES:
- Serves as key personnel for greeting all visitors to the clinic.
- Answers all incoming calls and addresses callers need: schedules, processes both urgent and non-urgent messages, transfer to multiple departments
- Registration of all new and current patients: including but not limited to: scheduling, check in/out, insurance eligibility, determine tribal eligibility, updating demographic information.
- Distributing office mail and faxes
- Process incoming and outgoing medical record request, while following HIPPA rules and regulations, including pulling records from other portals
- Process incoming and outgoing faxes and mail, including scanning and assigning to different providers within the Lincoln City and Siletz clinic.
- Maintain active accounts to various community health partner HER or records portals.
- Utilize NextGen, PM, EHR, and Document management for appropriate tasks.
- Other duties as needed and assigned.
REQUIREMENTS:
High school diploma or equivalent. Knowledge and understanding of Medical Terminology required. Minimum of two (2) year of experience working in a medical setting. Prior experience working with medical records preferred. Excellent attention to detail and ability to maintain confidentiality of personal information. Excellent time management and organizational skills, with the ability to prioritize tasks effectively. Prior experience working in electronic health records software and other software programs such as Microsoft Office preferred.
Knowledge of:

- Customer Service: Ability to communicate to people internal and external to the organization and to positively represent Siletz Community Health Clinic to patients, external health partners, and community members.
- Team Building: Ability to work as part of a team or on your own.
- Knowledge of medical procedures, medical specialties, and medical diagnoses, is preferred.
- Current HIPAA rules and regulations.
- Knowledge of or experience with IHS, PRC, Medicare, Medicaid and other 3rd party insurances.
Ability to:
- Ability to work independently with minimal supervision, as well as collaboratively within a team.
- Demonstrate competent computer skills; with specific experience in NextGen preferred, use a variety of EMR and insurance portals to obtain medical records.
- Maintain a positive attitude and professional demeanor in all interactions, both written and verbal.
- Strong analytical and problem-solving skills.
- Communicate with co-workers, other tribal departments, patients, and numerous community health partners to request and relay information, while ensuring HIPAA rules and regulations are maintained.
- Organize and prioritize tasks, complete with attention to detail and accuracy.
