POSITION: Senior Office Assistant

REPORTS TO: Administrative Services Manager
LOCATION(S): Gaming Headquarters (Omak)
Summary
Performs a wide variety of duties including clerical, reception, office support and customer service duties within the Gaming Commission, and within established policies and procedures or by referral to the supervisor’s guidelines. The Senior Office Assistant provides support to the Gaming Director, supervisory staff and the Secretary to the Commission with coordinating and facilitating meetings and special events. In addition, assists and directs visitors, maintains office supply inventory, record keeping inventory, and vehicle maintenance and upkeep, and serves as back up for the Timekeeper and for the Secretary to the Commission. The Senior Office Assistant will meet the Commission’s office needs in an efficient and effective manner, and with an advanced level of confidentiality and work ethic in business, financial, and personnel matters.

The Senior Office Assistant is an intermediate level in a career path design for generalist clerical and customer services. Advancement to Senior Office Assistant requires two years of experience at the Office Assistant level or equivalent, a working knowledge of the terminology and procedures used in the area of assignment, the ability to research and extract information from commonly used databases, record work-in-progress data to support research and reporting, enter data to specialized files such as those for business and customer records, and the ability to troubleshoot problems encountered with customer service transactions.
Essential Duties and Responsibilities
Incumbent typically performs a substantial portion or all of the following types of duties
- Receives walk-in guests and telephone inquiries from a variety of individuals. Initiates and receives telephone calls, provides information, and resolves matters as appropriate or routes calls. Provides information about programs, policies, and processes.
- Operates various office machines, including photocopiers, fax machine and calculators; this also includes the use of computers with efficiency.
- Maintains departmental vehicles (i.e., schedule oil changes, vehicle repairs, car washes, etc).
- Assists as designated back-up within the department/program with the preparation of payroll, purchase orders, and accounts payable vouchers.
- Acts as the designated back-up Recording Secretary for Gaming Commission meetings.
- Maintains confidentiality of information processed or received during the course of performing assigned duties and maintains strict standards of confidentiality and professionalism pertaining to all information concerning department investigations.
- Enters alphanumerical and statistical data into and from information collected to prepare reports for internal/external use. Enters the contents using established formats.
- Provides technical data entry and record-keeping support to research, events and other activities.
- Generates letters, memoranda, reports, work orders, requisitions or other materials from straight copy, rough drafts or verbal instructions. Prepares handbooks, brochures, and other program materials.
- Ensures the timely distribution and receipt of a variety of materials. Requests or provides information as necessary to assure completeness and accuracy.
- Compiles statistical data, posts routine administrative or other data and maintains department information on established data entry formats. Searches out information in departmental records and files.
- Gathers and compiles information and data, organizes in a presentable format, and prepares reports to summarize and convey findings on a routine and as-needed basis.
- Maintains filing systems for the Gaming Commission Administration (located at headquarters and storage units).
- Collect, sort and distribute incoming mail and brings outgoing mail to the local post office.
- Performs other related duties as assigned that support the objective of the position.

- Education and Training
High School Diploma or G.E.D. AND twenty-four months of combined education and work experience as a lower-level Office Assistant that demonstrates the ability to perform the position's duties. Must complete the required Typing Test with a minimum of 55 WPM to be considered for the position. To be considered for the position, you must complete the necessary Grammar/Punctuation with a minimum score of 80%.
Applicants must be qualified and suitable for a Tribal gaming license under Tribal, State, and Federal requirements. A tribal gaming license application must be completed and submitted with a CCT job application for consideration. - Knowledge and Skills
This position requires a working knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing Requires a working knowledge of procedures associated with processing financial transactions such as purchase orders, change orders, and payment vouchers Requires working knowledge of personal computer-based software that supports this level of work, including but not limited to word processing, spreadsheet, and database software (with data entry screens) Requires sufficient arithmetic skills to compute sums and statistics Requires sufficient skill using the English language, grammar, and spelling, punctuation, proofreading/editing, to prepare standardized correspondence Requires sufficient human relations skills to present a positive image of Tribe (and the Gaming Commission), convey technical information to others, and use patience in dealing with a diverse population Knowledge of Robert’s rules of order is a plus Knowledge of tribal gaming laws, regulations and rules under the Colville Confederated Tribes, the Colville Tribal Gaming Commission, the Indian Gaming Regulatory Act (IGRA), the National Indian Gaming Commission (NIGC) and the CCT Tribal-State Compact for Class III Gaming with the State of Washington is preferred.
