Job Description: Executive Assistant to Managing Partner of Financial Services Firm
Location: New York City or South Florida
Position Overview:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Managing Partner of our financial services firm. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will possess a strong background in executive support, with experience in travel arrangements, calendar management, and expense reporting.
Key Responsibilities:
Calendar Management:
- Efficiently manage the Managing Partner's calendar, scheduling meetings, appointments, and events.
- Prioritize and resolve scheduling conflicts while ensuring optimal use of the Managing Partner’s time.
Travel Arrangements:
- Plan and coordinate all aspects of business travel, including private jet charters, hotel accommodations, ground transportation, and itineraries.
- Ensure all travel arrangements are seamless and align with the Managing Partner’s preferences and schedules.
Expense Reporting:
- Prepare and process expense reports, ensuring accuracy and compliance with company policies.
- Track and manage expenses related to travel and other executive activities.
Communication Management:
- Serve as a point of contact for internal and external communications, screening calls, and managing correspondence.
- Prepare and edit presentations, reports, and other documents as needed.
Meeting Coordination:
- Organize and prepare for board meetings, executive team meetings, and other key gatherings.
- Take minutes and follow up on action items as required.
Confidentiality and Discretion:
- Maintain a high level of confidentiality regarding sensitive information and company matters.
Qualifications:
- Bachelor’s degree or equivalent experience.
- Minimum of 8 years of experience as an executive assistant, preferably in the financial services industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with travel management software.
- Strong organizational skills with a proven ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- High level of professionalism and discretion.
Preferred Skills:
- Experience with private aviation and charter arrangements.
- Familiarity with expense management software.

Compensation
- $100-115,000 base salary plus year-end bonus
