Purchasing and Accounts Payable Specialist
We are looking to add a Purchasing and Accounts Payable Specialist to assist with the day-to-day Procurement and Accounts Payable needs of the business. This role will work closely with the Financial Controller, Lab Manager and Site Operation (Manufacturing & R&D) Teams.
Key Responsibilities:
• Assist operations by placing purchase orders timely and accurately, verifying order discrepancies with the Manufacturing & R&D operations teams, obtaining approvals, tracking and ensuring orders are processed and received accordingly.
• Set up new supplier accounts
• Assist operations with receiving, maintaining inventory and associated reporting
• Assist operation teams with returns to suppliers
Accounts Payable duties:
• Manage accounts payable key activities including invoice processing, verifying accuracy, and obtaining approvals for non-PO invoices
• Maintaining the accounts payable inbox including reviewing vendor statement reconciliations and resolving discrepancies and/or inquiries in a timely manner
• Data entry of itemized receipts in QuickBase or MRP for tracking (against Purchase Order)
• Entering invoices in QuickBooks for tracking against PO’s
• Process credit card transactions and reconcile statements
• Review and maintain reports in the purchase order and accounts payable systems (requests not ordered, ordered not received, ordered not invoiced)
• Understand and help with the annual 1099s process
• Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices

• Other duties as assigned by the Lab Manager & Controller
Qualifications:
• BA/BS Degree in Business or equivalent with some experience in accounting/accounts payable or purchasing or AS Degree 3 years of experience in accounts payable / purchasing
• Strong attention to detail, ability to multitask and demonstrated ability to follow up
• Knowledge of QuickBase
• Strong communication skills both in person and on phone
• Ability to work independently, accurately, and efficiently, with little supervision
• Excellent written, verbal, and listening skills
• Ability to meet deadlines and be a team player
• Kanban inventory management experience a plus
• Strong Microsoft Excel skills including Pivot Tables and V-Lookup formulas
• Proficient in Microsoft Word
• Working knowledge in QuickBooks Desktop a plus
• Above average customer service skills and the ability to remain calm in stressful situations
• Able to work in a fast-paced environment
