Position Title: Scheduling and Logistics Manager
Position Summary:
The Scheduling and Logistics Manager will play a key role within the Project Management team for a multi-phase project spanning several years. The project involves constructing multiple new interconnected buildings for an owner in Westchester. The Scheduling and Logistics Manager will oversee the planning, scheduling, logistics, and coordination of all activities related to the construction of the project. The individual in this role will work closely with the Project Management team, including Program Managers, Engineers, and external vendors, to ensure that all project phases are completed on time, within budget, and in alignment with safety and quality standards.
Primary Responsibilities:
Scheduling Oversight and Coordination
- Lead the development and management of the project schedule, ensuring the timely completion of all phases across multiple interconnected buildings.
- Coordinate with cross-functional teams to maintain an integrated project schedule, ensuring that all construction, design, procurement, and logistics activities are aligned.
- Use project management tools such as Microsoft Project, Primavera, or similar software to track progress, identify delays, and develop mitigation strategies.
Logistics Management
- Oversee the movement and delivery of materials, equipment, and personnel across multiple construction sites.
- Ensure all logistical operations are executed efficiently, with a focus on minimizing downtime and maintaining project momentum.
- Work closely with vendors, contractors, and the procurement team to track deliveries, identify logistical challenges, and ensure solutions are implemented.
Project Cost and Budget Management
- Support the Project Controls Manager with cost tracking, financial forecasting, and budgeting for scheduling and logistics activities.
- Assist in the development of cost models for logistics, ensuring financial considerations are factored into scheduling and resource allocation decisions.
- Work with Program and Project Managers to provide accurate forecasts of project expenses related to scheduling and logistics.
Risk Management and Issue Resolution
- Identify scheduling and logistical risks and work proactively to resolve potential conflicts or delays.
- Maintain up-to-date risk registers and contribute to project change management logs.
- Regularly communicate potential issues and delays to senior management, offering recommendations for resolution.
Coordination with Internal Teams and External Partners
- Collaborate with internal teams, including EH&S, Asset Management, IT, and Security, to ensure all scheduling and logistics activities align with overall project goals.
- Manage communications with external vendors, subcontractors, and stakeholders to maintain smooth coordination and timely execution of project activities.
Construction Support and Administration
- Provide ongoing support for construction administration, including tracking construction progress, change orders, and budget updates.
- Ensure accurate reporting of construction timelines, milestones, and logistics activity.
- Support the Project Management team in ensuring compliance with construction and safety standards.
Project Closeout and Reporting
- Assist with the finalization of project reports, ensuring that all logistics and scheduling documentation is completed and organized according to client standards.
- Ensure proper tracking and documentation of all project milestones, deliverables, and financial reports as part of project closeout.
Required Qualifications:
Technical Skills:
- Expertise in project scheduling tool Primavera (P6) is required.
- Experience with logistics management tools and financial reporting systems (e.g., Oracle, Qlik Sense).
- Strong proficiency in Excel 2021, PowerPoint 2021, and other relevant software tools.
Project Experience:
- Proven experience managing large-scale, multi-year construction projects, preferably involving complex, multi-team environments.
- Strong understanding of construction logistics, scheduling, and project controls.
- Ability to effectively manage multiple phases of construction and coordinate between multiple teams and stakeholders.
Communication and Leadership:
- Strong interpersonal skills with the ability to build relationships with internal teams, external contractors, and senior management.
- Self-motivated, proactive, and able to lead by example in managing scheduling and logistics tasks.
