Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in providing administrative support to ensure efficient operation of the office. Responsibilities
- Perform clerical duties such as filing, data entry, and maintaining organized records.
- Perform data entry as required, Operate the truck weight scale and record weights of incoming and outgoing shipments.
- Conduct necessary purchasing as needed, matching PO’s to invoices to ensure accuracy. (Obtain quotes for requested purchases, create requisitions, receive materials and services rendered in JD Edwards,)
- Assist with Payroll – tracking, calculating, input and monitoring time & attendance.
- Assist employees with HR related issues: new hire paperwork, forms, changes, etc.
- Develop and maintain positive working relationships with co-workers, customers and vendors.
- Work as part of the team to meet, or exceed, KPI (Key Performance Indictor) efficiency and performance standards.
- Provide support to team members by managing correspondence and preparing documents.
- Maintain office supplies inventory and place orders as necessary.
- Handle confidential information with discretion and integrity.
- Support various administrative projects as assigned.
Requirements
- Proven experience as an Administrative Assistant or in a similar role
- Prior experience working in an Industrial site is a plus.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent organizational skills with a keen attention to detail.
- Effective time management abilities to prioritize tasks efficiently.
- Billingual English/Spanish candidates are preferred but not required.
- Familiarity with calendar management and front desk operations is a plus.
- Strong phone etiquette and interpersonal communication skills.
- Ability to work independently while also being a collaborative team player.
