Overview
We are seeking a detail-oriented and compassionate Administrative Intake Coordinator to join our healthcare team. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks in a fast-paced mental health/medical environment. This role requires a strong understanding of medical office operations, patient service, and compliance with HIPAA regulations.
Duties
- Greet patients and visitors warmly, ensuring a positive first impression.
- Schedule appointments and manage initial calendar appointments for healthcare providers.
- Handle patient check-in and check-out processes efficiently.
- Review and verify patient documentation for accuracy and completeness.
- Maintain patient records in compliance with HIPAA regulations.
- Assist with medical coding using ICD-10 codes as necessary.
- Utilize computerized systems, including medical health record systems, Google Suite, and Microsoft, to manage patient information.
- Answer phone calls promptly, addressing inquiries or directing them to the appropriate staff members.
- Experience calling insurance companies for medical and behavioral health providers to screen client eligibility and benefits, inquire about statuses of payments, etc.
- Credential/panel new staff members with insurance companies.
- Attesting providers with CAQH and insurance companies.
- Keeping track of provider practice insurance expirations and licensure.
- Provide support in medical office management tasks as needed.
- Collaborate with healthcare professionals to ensure optimal patient service.
Qualifications
- Proven experience working in a medical/behavioral health office as an intake cooridnator, reception, biulling or administrative role or similar.
- Strong customer service skills with the ability to communicate effectively and professionally, both written and verbally, with patients and staff.
- Familiarity with medical terminology, documentation review, and coding practices (ICD-10).
- Knowledge of insurance and billing processes.
- Ability to verify patient eligibility, benefits, obtain prior authorizations as needed.
- Proficiency in using computerized systems for scheduling and record management.
- Knowledge and proficiency in Google Suite and Microsoft Office.
- Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality.
- Excellent organizational skills and attention to detail in managing multiple tasks.
- Ability to work well under pressure while maintaining a professional demeanor.
- Ability to work with minimal supervision whilst maintaining self as part of a collaborative team.
- High school diploma or equivalent; additional certification in medical administration is a plus. Bachelor degree preferred.
- Bilingual: Spanish and English preferred.
