Job Purpose:
The Bookkeeper / Office Assistant is responsible for meticulous data entry necessary for bookkeeping, office administration, and compliance management. This role ensures the efficient functioning of the office, supports financial processes, and maintains regulatory and organizational compliance.
ESSENTIAL DUTIES
Bookkeeping:
- Process checks and bank deposits, and record transactions in QuickBooks
- Enter invoices into QuickBooks, categorizing them appropriately
- Record sales receipts from multiple software systems
- Reconcile monthly bank statements and QuickBooks accounts
- Run and review sales tax reports, send to accountant, and ensure payment is made
- Prepare, print, and mail monthly statements to customers
- Process auto payments and e-bill distributions
Office Administration:
- Provide exceptional customer service via inbound phone calls and in-office visitors
- Answer phones, direct inquiries, and ensure timely responses to general office requests
- Record, document, and distribute office meeting notes to all pertinent personnel
- Calculate hours worked for all employees
- Assist other office personnel in maintaining the cleanliness of the office
Compliance and Files:
- Monitor and track driver licenses, truck registrations, inspections, and highway use tax renewals to maintain compliance
- Keep truck binders and DOT driver qualification files updated and organized
- Maintain DOT truck files and ensure timely document submissions
- Organize and update accounts payable and accounts receivable files for easy access and compliance
Other duties as assigned
SKILLS & QUALIFICATIONS
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook)
- Excellent customer service skills
- Strong communication skills
- Ability to manage multiple tasks simultaneously
- Strong attention to detail and organizational skills
- Experience with compliance-related duties
- Knowledge of DOT regulations and document management
